Requirements
  • Bachelor's degree or equivalent experience in business administration project management or a related field.
  • Minimum of 3+ years of experience as an executive assistant or similar roles.
  • Strong organizational, time management, and multitasking abilities.
  • Proficiency in Google Workplace and other office productivity tools.
  • Ability to work in a fast-paced hybrid environment and handle stress appropriately and/or ability to solve practical problems and be sufficiently adaptable to handle dynamic situations with little advance notice.
  • Experience working on cross-functional teams with ability to communicate effectively through written and verbal communications, including asynchronous interactions with others.

Responsibilities
  • Manage and maintain the executive's schedule, including appointments, meetings, travel arrangements and expense reports.
  • Organize and coordinate internal and external events, meetings, training and conferences.
  • Serve as the point of contact between the executive and internal/external stakeholders.
  • Prepare reports, presentations, and other documents as needed for internal and external meetings.
  • Support program objectives by coordinating resources, monitoring progress, and liaising between team members and external partners.
  • Coordinate day-to-day activities for the assigned program, ensuring tasks are completed on time and within budget.
  • Develop and maintain program documentation, including schedules, reports, and correspondence.
  • Track program progress, manage schedules, and adjust plans as necessary to meet deadlines.
  • Communicate program status, issues, and risks to stakeholders and provide updates regularly.
  • Handle sensitive and confidential information with the utmost discretion.
  • Collaborate with cross-functional team members and stakeholders, including regular and reliable attendance and participation in meetings.
  • Perform other duties as required.
