Requirements
  • An Associate's degree and three years of related work experience are required, or an equivalent combination of education and experience.
  • The role requires the ability to work with clinical staff and faculty across Operating Room and ectopic surgical locations.
  • The role requires accurate patient registration, scheduling, billing-error correction, patient tracking, and use of electronic medical record and scheduling software programs.
Responsibilities
  • Functions as the primary liaison between staff and faculty in and out of the Operating Room and ectopic surgical locations through timely and diverse communication at the Operating Room control desk.
  • Maintains the White Board in collaboration with the Anesthesia Clinical Coordinator and Charge Nurse, with appropriate follow-through.
  • Triages patient calls, assesses clinical urgency, determines appropriate action, and communicates changes to clinical staff and faculty.
  • Maintains the manual Operating Room schedule as a backup in the event of electrical or computer failure.
  • Assesses and triages Operating Room calls, pages, and STAT calls; books emergent cases; and communicates and coordinates faculty and staff for off-shift and next-day cases.
  • Initiates the printing and organization of next-day patient call slips and wristbands.
  • Serves as the point person for complaints from patients, faculty, nursing, and anesthesiology.
  • Answers incoming phone calls in the communications center and routes calls appropriately.
  • Supports departmental activities by monitoring inventory, ordering supplies, managing stock forms and supplies, and responding to clinical staff requests.
  • Coordinates daily efforts to edit and correct registration and billing errors during the full registration process.
  • Identifies ways to reduce follow-up, repetitive, or corrective work.
  • Uses electronic medical record and scheduling software programs to facilitate workflow.
  • Manages the patient tracking system and ensures correct patient locations.
  • Provides department-specific training to staff as a designated preceptor, including department and hospital orientation, registration processes, and customer service.
  • Acts as an information resource for departmental staff regarding registration and workflow activities.
  • Attends department education programs as directed by the supervisor and educates other staff.
  • Performs other patient-focused tasks.
  • Assigns patient transports, disseminates tasks to PSAs, monitors the pneumatic tube station and distributes contents, distributes scrubs, witnesses consent signatures, faxes charts, and pulls charts for quality assurance audits or patient-care follow-up.
  • Coordinates transportation for discharged or transferred patients as needed.
Desired Qualifications
  • Experience in an Emergency Department setting is preferred.
  • One year in a position demonstrating the ability to work with minimum supervision and direct an office operation is preferred.
  • Experience with medical terminology is preferred.
  • Experience with PICIS and Flowcast is preferred.
  • Ability to type accurately is preferred.
  • Skills related to achieving customer satisfaction are preferred.
  • Ability to deal calmly but efficiently with medical professionals during life-threatening situations is preferred.
  • Ability to maintain a strong customer service approach while handling diverse personalities is preferred.
