Requirements
  • A high school diploma is required; a bachelor's degree is preferred.
  • With no degree, two years of experience in a healthcare or healthcare scheduling position and three years of relevant work experience are required, or an equivalent combination of relevant education and experience.
  • With a bachelor's degree, one year of relevant work experience in a healthcare or healthcare scheduling position is required.
  • The role requires understanding of cancer staging, diagnosis, and treatment.
  • The role requires independent decision-making, critical thinking, customer service, oncology scheduling guidelines, registration policies and procedures, and provider template processes.
  • The role requires the ability to use Epic, PowerShare, eHealth record templates, scheduling algorithms or decision trees, and referral workqueues.
Responsibilities
  • Serve as the first point of contact for patients, referring providers, and care teams to coordinate oncology care.
  • Receive and independently process oncology referrals from phone, fax, email, in-basket messages, and workqueues.
  • Register new patient accounts, enter and update demographic and insurance information, identify appropriate physicians and services, and schedule consults, procedures, studies, laboratory tests, diagnostics, and follow-up visits.
  • Determine the appropriate disease group, providers, appointment types, and support services for oncology patients, including social work, nutrition, palliative care, survivorship, genetics, and other first-visit needs.
  • Educate patients about cancer types, diagnosis, treatment, and the roles of providers on their care teams.
  • Collect, request, review, categorize, index, upload, and validate outside medical records, imaging, pathology, and other diagnostic information before initial visits.
  • Contact referring providers and treating hospitals to obtain previous medical records and determine completed and required diagnostic tests and procedures.
  • Coordinate orders with providers, place Epic orders for outside images and pathology slide review, and communicate record or imaging issues to providers before appointments.
  • Coordinate and participate in new-patient review meetings with disease-group providers.
  • Document patient, diagnosis, and treatment information in Epic Flow Sheet, generate daily flow-sheet reports, present patients for discussion, and complete follow-up actions.
  • Participate in departmental meetings, advise the supervisor about current activities and program requirements, recommend solutions to identified problems, and maintain liaison with other Oncology Access programs.
  • Use appropriate registration scripting and follow scheduling, self-pay, Medicaid out-of-county, and VA scheduling policies and procedures.
  • Maintain a professional image by phone and while representing the oncology program.
