Responsibilities
- Contact customers by email and phone regarding outstanding invoices, renewals, and overdue payments, following up according to aging buckets.
- Build professional customer relationships to encourage timely payments and reduce involuntary churn.
- Address billing disputes and escalate unresolved cases to Finance leadership.
- Communicate with clients about expiring or expired payment methods and support the dunning process for failed card payments in coordination with billing and payment systems such as Stripe.
- Process customer account closure requests.
- Prepare lists for the collection agency and provide the information required for collection.
- Maintain and regularly update the accounts receivable aging report.
- Track promised payment dates and follow up accordingly.
- Reconcile customer accounts and identify discrepancies between billing and payments received.
- Document customer interactions with detailed follow-up notes and keep those notes updated in the billing system.
- Prepare weekly and monthly collection status reports, days sales outstanding, and aging summaries for management.
- Compile and organize at-risk client data for Finance leadership review.
- Prepare dunning emails and statements of account for overdue customers.
- Collaborate with Finance and Customer Success or Customer Service teams to support smooth accounts receivable operations.
- Support month-end close activities related to accounts receivable and deferred revenue.
- Assist with ad hoc financial projects and reporting initiatives as needed.
