Requirements
  • 3+ years experience in an Executive Support Role, providing administrative support to Senior level leadership.
  • Proficient in Apple productivity tools (Keynote, Numbers, Pages, Mail, Calendar). experience with Wrike, Slack, Box and other technology/software/tools.
  • Organizational skills managing a complex calendar and travel with many partners across multiple timezones.
Responsibilities
  • Handle daily scheduling in iCal and calendar management for one or more director or senior director, including coordination of complex meetings with multiple executives and locations.
  • Multi-task and prioritize a wide range of projects in a fast-paced environment, with attention to detail, accuracy and timeliness.
  • Arrange and coordinate complicated international and domestic travel, accommodations and all trip logistics.
  • Submit and reconcile expense reports.
  • Plan, coordinate and implement internal events such as off-sites, team building events and organizational wide meetings (comms/all team meetings).
  • Interact daily with other administrators across Apple both locally and internationally.
  • Support weekly team meetings across the org and coordinate on some key chief of staff duties such as tracking key priorities.

  • An ability to display a high level of integrity and professionalism in dealing with people at all levels is imperative.
  • Ability to utilize tact, diplomacy discretion and good judgement at all times, but especially when exposed to sensitive or confidential material.
  • Will be well organized, detail oriented and have strong time-management skills.
  • Ability to identify critical issues quickly and navigate priorities based on last minute changes.
  • Ability to work both autonomously on assignments and collaboratively with other admins.
  • Ability to work on assignments of moderate difficultly, requiring judgment in resolving issues or in making recommendations.
  • Experience supporting a business team is a plus.
  • An upbeat spirit of passion, energy, and enthusiasm; enjoys problem solving creatively in order to complete assignments.
  • Strong written and verbal communication skills.
  • Have the initiative to efficiently meet the demands of the team.
  • The ability to work successfully in a team environment and build effective working relationships inside and outside the group is essential.
  • Flexibility/adaptability as this position has a large range of tasks and grows with the team’s growth.
  • Develop an understanding of the department’s operations, culture, policies and procedures.
  • Handle and maintain highly confidential and sensitive information.
  • Multi-task and work on projects simultaneously.
  • Strategic thinking; understand business and industry and sees the “big picture”.
  • Global awareness, time zones, culture and logistics.
