Requirements
  • A preferred Bachelor of Science degree in Business, Accounting, Finance, Healthcare Administration, Applied Science, or an equivalent qualification.
  • A minimum of three years of experience in physician practice, including supervisory responsibilities.
  • Financial and analytical skills.
  • Knowledge of insurance rules, including reimbursement, third-party payers, pre-certification, ICD-10, and CPT coding.
  • Knowledge of medical software systems.
  • Ability to maintain strict confidentiality of medical, financial, and staff-related information.
  • Ability to perform multiple tasks in an organized manner.
  • Ability to access all areas of the facility, sit for long periods, and meet visual and hearing requirements.
  • Ability to travel to facilities other than the main campus.
Responsibilities
  • Supervise clinic staff and direct and delegate daily operations and activities.
  • Manage assigned work queues and in-baskets in Epic, monitor errors, and apply corrections through staff education where needed.
  • Collaborate with the Central Billing Office regarding accounts, outstanding balances, and financial planning.
  • Monitor clinic operational processes, identify negative trends, patterns, and patient-care quality issues, and implement, document, and follow up on corrective actions using PDCA when appropriate.
  • Monitor and coordinate accurate collection of co-pays and over-the-counter payments, end-of-day balancing, and deposit functions in compliance with requirements.
  • Facilitate clinic growth through operational efficiencies and effective access while reducing wait times and no-shows.
  • Maintain the facility as a safe, comfortable, and effective environment.
  • Work with physicians and advanced practice providers to ensure appropriate resources and systems are available for patient care.
  • Provide resources and materials supportive of the cultural diversity of patients in rural communities.
  • Assist administration in monitoring patient satisfaction and implement programs and policies to enhance patient satisfaction.
  • Coordinate and monitor appointment schedules, no-shows, satisfaction surveys, patient flow, and access to medical care.
  • Promote positive staff interaction and demonstrate sensitivity to staff needs.
  • Maintain equipment and ensure it is used correctly.
  • Maintain adequate inventory of supplies and forms and coordinate ordering of office and clinical supplies.
  • Monitor compliance with safety regulations and maintain logs and checklists for laboratory, X-ray, and clinical operations.
  • Support computer and systems-management programs used to operate the medical clinic, using FirstHealth Information Technology support as needed.
  • Use Biomedical support where appropriate to support equipment safety.
  • Apply Occupational Safety and Health Administration principles and FirstHealth infection-control resources.
  • Monitor safety and infection-control measures and establish systems for compliance.
  • Assure patient safety by following applicable FirstHealth patient-safety goals.
  • Encourage staff and providers to participate in computer-based learning and NetLearning for applicable Joint Commission patient-safety goals.
  • Monitor patient-safety occurrences, document them correctly, notify appropriate departments, and implement corrective actions.
  • Maintain current infection-control and safety reference materials and manuals.
  • Coordinate annual safety and Occupational Safety and Health Administration inspections with departmental support.
  • Plan and facilitate provider and staff meetings.
  • Maintain physician, advanced practice provider, and staff call and work schedules.
  • Promote ongoing education and skills training for staff and healthcare professionals.
  • Coordinate staff training and continuing-education reports and perform timely performance evaluations of immediate staff in conjunction with Human Resources protocols.
  • Ensure staffing patterns support crisis training and quality clinic operations during short-staffed periods.
  • Prepare and submit daily, weekly, and monthly statistical and accounting information.
  • Monitor special projects and prepare required reports.
  • Maintain meeting minutes and submit them to administration or make them available as required.
  • Monitor employee payroll records through ADP, make necessary edits, maintain edit logs, and communicate overtime issues.
  • Maintain compliance with Human Resources payroll requirements.
  • Implement electronic medical records with support from Information Systems and administration in a manner that supports quality patient care, provider satisfaction, staff satisfaction, and Health Information Management Systems and HIPAA requirements.
  • Apply Epic updates promptly to enhance production and patient convenience through pharmacy access, medication reconciliation, and continuity of care, and communicate variances to providers.
  • Perform daily charge-related activities.
