Responsibilities
  • Create and drive a culture of empathy, service excellence, and patient-centered care that impacts the patient experience across the UHealth System.
  • Monitor and analyze quantitative service and productivity metrics, including average speed to answer, abandon rate, service level, and appointments scheduled.
  • Provide leadership with quarterly reports outlining team performance and growth, including relevant Clinical Practice Department information, to support process improvement and decision-making.
  • Work with the Quality Management team to monitor and analyze team quality and patient-satisfaction metrics, including call monitoring for adherence and registration-documentation compliance.
  • Coordinate with the Workforce Management team to maximize staff productivity and availability within the contact center.
  • Collaborate with internal teams on cross-coverage activities to ensure UHealthConnect meets customer expectations.
  • Work with the Quality Management team and Clinical Practice stakeholders to resolve escalated complaints as necessary.
  • Ensure appropriate appointment and registration information is documented at the time of scheduling.
  • Ensure scheduled appointments are accurate and that payors meet authorization time-frame guidelines for financial clearance before patient arrival.
  • Run daily productivity reports to verify that the team meets established standards and goals.
  • Perform regular quality-assurance reviews to ensure team members adhere to policies and procedures.
  • Communicate policy changes and business-operation updates accurately and promptly to staff.
  • Conduct department-wide meetings to maintain two-way communication, solve problems, and relay information.
  • Attend meetings, prepare reports and presentations, and gather and analyze data regarding trends and changes while providing recommendations and solutions.
  • Stay current on systems used by the department, including telecommunications systems, customer relationship management systems, and scheduling and registration modules.
