Requirements
  • A university Bachelor's degree or equivalent combination of education and experience is required.
  • Five to seven years of experience in one or more of event planning, volunteer management, program creation, project management, partnership building, and community or alumni engagement is required.
  • Managerial and team coaching experience, with the ability to accomplish multiple priorities concurrently and accurately, is required.
  • Experience building and managing volunteer management programs, including recruiting, onboarding, and managing volunteers of all levels, including senior C-suite volunteers, is required.
  • Experience developing and managing budgets of $100,000 or more is required.
  • Experience working with individuals from different cultures in different time zones is required.
  • Experience working within a campus environment, specifically with university alumni, is required.
  • A complex, fast-paced work environment, preferably in the post-secondary sector, is preferred.
  • Superior working knowledge of alumni relations programs, relationship management, privacy regulations, budgeting, and research is required.
  • The ability to work collaboratively and communicate with internal departments, external stakeholders, and vendors is required.
  • A strong understanding of applicable federal and provincial privacy and anti-spam legislation is required.
  • Expertise using persuasion and negotiation skills to build support and cooperation among individuals and groups with different perspectives and concerns is required.
  • An understanding of research, statistics, best practices, and resources for preparing written plans and reports is required.
  • Demonstrated organizational skills are required.
  • Highly accomplished public-speaking ability, especially when addressing large audiences, is required.
  • Proficient knowledge and use of alumni or donor databases and a content management system is required.
  • The ability to professionally represent the University at alumni events is required.
  • An understanding of university student life and student services is required.
  • Understanding and use of social media is required.
  • Professional skill in relationship qualification, cultivation, and stewardship, including external visits, is required.
  • A proven track record of taking initiative with minimal direction is required.
  • The ability to develop, implement, and measure special projects as assigned is required.
  • Excellent written and verbal communication skills are required.
  • Expertise in Microsoft Office programs, including Word, Excel, PowerPoint, Outlook, and SharePoint, is required.
  • The ability to learn new software quickly and access software while off-site is required.
  • Candidates must be legally entitled to work in Canada.
Responsibilities
  • Develop and oversee strategies that motivate the team to achieve Advancement objectives.
  • Engage local and international alumni communities through programming that bridges stakeholders.
  • Lead high-profile alumni events, programs, and activities.
  • Plan events, programs, and projects in alignment with Advancement goals and the University strategic plan.
  • Oversee the development, implementation, maintenance, and evaluation of alumni programs, projects, and activities.
  • Engage alumni as volunteers and participants in regional activities and events.
  • Ensure consistency, accuracy, and quality of messaging in materials.
  • Oversee systems and processes that support alumni engagement.
  • Provide mentorship, guidance, and insight to team members.
  • Manage and supervise alumni team members.
  • Serve as an alumni subject matter expert on special project teams and task forces and as a key contact for on-campus units.
  • Direct Advancement-wide special projects involving staff across Advancement.
  • Provide management, guidance, and planning oversight for a specific alumni team, including establishing and monitoring performance milestones and annual objectives.
  • Collaborate with alumni and development professionals to facilitate programs, activities, and events involving alumni, donors, and friends.
  • Review, develop, and negotiate agreements with external vendors and partners.
  • Participate in the alumni relations leadership team.
  • Collaborate with Advancement Services to maintain and improve systems and data processes.
  • Coordinate events, programs, and activities across campus departments.
  • Build relationships with University faculty and staff to support programs, events, and activities.
  • Represent the University to the public, alumni, volunteers, donors, and invited guests at alumni initiatives.
  • Conduct quarterly measurement and evaluation against strategic-plan outcomes and goals and report against the budget.
  • Manage the budget for the specific alumni team.
  • Establish benchmarks and monitor and adjust plans based on observed results.
  • Manage data integrity as needs arise.
  • Collaborate with Advancement Services on data analysis related to alumni engagement.
  • Review prior data and trends to forecast the coming year.
  • Measure alumni engagement for program evaluation.
  • Manage environmental scans, statistical reports, proposals, and post-event reports.
  • Work with Marketing & Communications to integrate messaging for alumni, donors, and the University community.
  • Collaborate with Marketing & Communications to create and produce marketing and communications across social, web, print, video, and email platforms.
  • Keep the Senior Director, Alumni Relations informed of emerging issues affecting the University.
  • Work with Marketing & Communications to respond to internal and external stakeholder inquiries and complaints in alignment with strategic messaging.
  • Increase awareness of services, benefits, and perks available to Waterloo alumni.

  • Experience designing, constructing, and overseeing high-profile outreach events in collaboration with university leadership and faculty members.
  • Writing and editing experience.
  • Project management experience demonstrating the ability to manage simultaneous projects under tight deadlines.
  • Expertise managing conflicting deadlines and priorities in high-pressure situations.
  • Completion of further education focused on leadership skills development.

The Student Venture Fund (SVF) at the University of Waterloo provides students with hands-on venture capital training by evaluating startups, conducting market research, valuing companies, performing due diligence, and making investment recommendations under supervision from finance professors and industry mentors. Students work through the full investment process, presenting ideas and executing approved investments as part of a live early-stage portfolio. The program differs from typical courses by offering an end-to-end, real-money learning experience with ongoing mentorship and industry interaction. Its goal is to develop practical VC skills in students while building real-world investment experience and expanding connections with the startup and investment community.
