Requirements
  • Two years of professional office clerical experience.
  • Successfully pass an initial criminal background check and repeat the check every two years thereafter while continuously meeting the requirements of the Bureau of Criminal Information.
  • Knowledge of general secretarial and clerical procedures and techniques, legal terminology, office technology systems, business English, proofreading and editing techniques, Salt Lake County rules and procedures, the criminal justice system, civil, criminal, and bankruptcy court procedures, the county subdivision approval process, word processing systems and equipment, legal research, cash-handling policies and procedures, and filing systems used by courts, the District Attorney’s Office, and outside agencies.
  • Type accurately at 40 words per minute.
  • Work with computer software related to job-specific duties.
  • Accurately transcribe dictation from a transcriber.
  • Greet and assist the public promptly, courteously, and professionally.
Responsibilities
  • Draft service contracts for assigned attorneys’ client agencies.
  • Prepare required documents using written copy, transcription equipment, shorthand notes, or other job-specific tools; make copies for filing and distribute originals appropriately.
  • Prepare travel and training requests for seminars, conferences, and workshops, and assist in setting appointments for assigned attorneys.
  • Compose correspondence as requested by attorneys, obtain signatures, and copy documents for distribution.
  • Prepare and maintain electronic and hard-copy case files; analyze case-file information to determine action and prepare appropriate legal documents for attorney review and case processing.
  • Coordinate inquiries from office divisions, county departments, state agencies, law enforcement agencies, and courts regarding attorney work products.
  • Coordinate inquiries with Risk Management and claims adjusters as required.
  • Receive motions for discovery from outside and defense attorneys, review case files to identify responsive documents, and provide those documents to opposing counsel.
  • Answer case-status inquiries by telephone or written correspondence and provide citizens with information about the process, including the appropriate judge’s name and contact details.
  • Transcribe charges accurately into legal format using county ordinances, the state criminal code, and wildlife-regulation ordinances.
  • Maintain daily and weekly calendars of appointments, hearings, trials, and pre-trials for prosecuting attorneys; monitor cases to ensure timely statutory action; coordinate with court clerks; and check online court-calendar updates.
  • Receive court citations and attorney fact sheets and prepare case files and necessary legal documents.
  • Coordinate with courts regarding continued and rescheduled cases.
  • Maintain accurate and current case files and perform required file-maintenance duties.
  • Assist with calling witnesses to provide notice of hearings, trials, continuations, and cancellations.
  • Answer telephone inquiries, refer callers to appropriate attorneys, take messages, greet the public, and provide information to law enforcement officers, defense attorneys, and governmental agencies.
  • Independently review case files and order necessary legal documents from agencies according to individual cases.
  • Assist attorneys in maintaining statistics on court appearances, dispositions, and case transactions; access court calendars and case files to prepare related statistics.
  • Review, log, and route incoming mail, inter-office correspondence, and county correspondence to assigned attorneys or personnel.
  • Obtain defendants’ asset and financial-status information and prepare appropriate orders using applicable statutes for submission to the judge and opposing counsel.
