Requirements
  • A high school diploma or GED and a minimum of six months of relevant administrative, customer-service, school, hospitality, or equivalent experience; an equivalent combination of training and experience will be considered.
  • Ability to work independently, identify what needs to be done, and move work forward without constant direction.
  • Strong problem-solving skills and sound judgment, including the ability to assess a situation, identify options, and determine an appropriate course of action.
  • Exceptional customer-service orientation and a genuine desire to be helpful.

  • Ability to sit, talk, hear, visually monitor and greet visitors; occasionally lift and move up to 45 pounds; turn, bend, reach, and occasionally use a ladder; and work at a desk and computer screen for extended periods.
  • Ability to work effectively in a busy, often distracting environment with frequent interruptions and changing priorities.
Responsibilities
  • Serve as a welcoming and highly responsive first point of contact for students, families, employees, visitors, and vendors.
  • Take ownership of questions and problems, resolve routine issues independently, and identify when matters should be escalated.
  • Anticipate the needs of the front office and school community and proactively address issues before they become problems.
  • Manage multiple competing priorities and frequent interruptions while maintaining accuracy, professionalism, discretion, and follow-through.
  • Respond calmly and effectively to unexpected situations, including a sick child, a concerned parent, a last-minute schedule change, or an operational need.
  • Build positive relationships with students and supervise, reassure, redirect, and assist children ranging from preschool through middle school.
  • Maintain awareness of activity across the school and help ensure that information, questions, and requests reach the appropriate people quickly.
  • Assist with document preparation and staff and parent communications, including tracking medications and medical records.
  • Maintain office supplies and materials for the administrative office area.
  • Track student lunch orders and coordinate distribution across the school.
  • Maintain accurate records for school purchasing, order processing, and receipt of approved purchase requests from teachers and administrative staff.
  • Coordinate and schedule meetings, rooms, and required equipment, and support the administrative leadership team with scheduling needs.
  • Coordinate field trips with Division Heads and faculty and assist with staff travel arrangements.
  • Support preparation, logistics, and setup for school events.
  • Provide basic care within school protocols to students who are injured or feeling unwell, communicate with parents, and supervise students until pickup when needed.
  • Contact parents regarding attendance and maintain accurate daily attendance records in the school database.
  • Maintain school and student files in accordance with regulatory and compliance requirements.
  • Use and support routine office technology and equipment, including computers, printers, copiers, databases, and communication platforms.
  • Support other administrative and school needs as they arise.
Desired Qualifications
  • Experience in a school, youth-serving organization, administrative office, hospitality, or similarly service-oriented environment.
  • Fluency in speaking, reading, and writing Mandarin.
