Requirements
  • A bachelor's degree is required, although equivalent experience may be substituted for education.
  • At least 3 years of experience is required.
  • Knowledge of technical, business, consultation, project management, and cultural awareness concepts is required.
  • Strong organizational and communication skills are required, including the ability to manage complex schedules, track payroll-related information, and liaise between clinical and administrative teams.
  • The role requires customer focus, trust building, communication, critical thinking, and influencing skills.
  • The role requires the ability to occasionally lift moderate-weight materials and to stand or walk continuously.
  • The role requires the ability to detect and translate speech or other communication and may occasionally require distinguishing colors and perceiving relative distances between objects.
Responsibilities
  • Develop, implement, and maintain comprehensive databases and files for the CVICU, OB, RAAPS, and PAT service lines, including provider schedules, Epic templates, payroll tracking, and time-off records.
  • Maintain the program timeline by tracking deadlines and program components, along with short- and long-term clinical staffing schedules.
  • Coordinate and manage the scheduling of anesthesia providers, including faculty and advanced practice providers, and material resources across the CVICU, OB, RAAPS, and PAT service lines.
  • Track and manage vacation, time away, and coverage needs to ensure appropriate clinical staffing.
  • Conduct or coordinate training on QGenda utilization and updates for providers.
  • Collect, analyze, and disseminate program data, including staffing, payroll, and scheduling metrics, and provide input on program design.
  • Support payroll processes by maintaining accurate provider schedules, tracking time worked, and ensuring alignment with departmental and organizational requirements.
  • Report program data and progress to stakeholders, including updates on clinical scheduling, coverage, and workforce utilization.
  • Coordinate and manage program outreach activities and act as a liaison with clinic managers, clinical leaders, providers, and main campus administrative teams.
  • Serve as a primary administrative resource for non-operating-room anesthesia providers.
Desired Qualifications
  • Clinical operations experience is preferred.
