Requirements
  • An Associate degree in business administration, office administration, laboratory administration, or a related field, with at least three years of progressively responsible administrative experience; equivalent combinations of education and experience may be considered, with additional relevant experience substituting for required education as appropriate.
  • Experience with administrative operations, customer service, data management, office systems, financial processes, personnel coordination, and computer applications.
  • Strong organizational skills to manage multiple priorities, coordinate complex administrative functions, and meet deadlines.
  • Written and verbal communication skills to interact effectively with clients, laboratory personnel, university departments, and external partners.
  • Ability to exercise independent judgment, maintain confidentiality, solve problems, and make decisions within established policies and procedures.
  • Attention to detail to maintain accurate records, analyze data, and support quality and regulatory requirements.
  • Proficiency with computer applications and ability to learn and use specialized laboratory information and quality management systems.
  • Ability to work collaboratively, provide training and guidance to others, and adapt to changing priorities in a dynamic laboratory environment.

Responsibilities
  • Direct the daily administrative operations of the laboratory office and serve as the primary point of contact for clients, veterinarians, producers, state and federal agencies, vendors, students, and the University community.
  • Respond to complex inquiries, resolve customer service issues, and maintain confidentiality of diagnostic cases, client information, and laboratory records in accordance with policies and regulations.
  • Coordinate the preparation, review, and distribution of approximately 10,000 diagnostic case reports annually through electronic, fax, mail, and other delivery methods.
  • Ensure report accuracy and completeness, determine appropriate billing, and maintain electronic and physical records according to laboratory and University retention requirements.
  • Prepare client invoices, process monthly billing through University financial systems, verify payments, reconcile financial records, prepare deposits, and coordinate with University Business Service Center personnel for accurate accounting and fiscal compliance.
  • Maintain the master client database and associated records, and compile, analyze, and prepare operational reports on caseload statistics, testing volumes, disease trends, client utilization, and other business metrics.
  • Manage office equipment, administrative supply inventories, and purchasing activities, and assist with outreach, client communications, and promotional efforts.
  • Coordinate reporting of reportable animal diseases and laboratory findings to state and federal regulatory agencies while maintaining timely, accurate, and confidential submissions.
  • Use MediaLab to maintain controlled documents, manage revisions, track nonconformities and corrective and preventive actions, and maintain quality records.
  • Participate in internal audits, annual management reviews, and continuous quality improvement activities.
  • Coordinate administrative support for ISO/IEC 17025, National Animal Health Laboratory Network, and American Association of Veterinary Laboratory Diagnosticians accreditation activities, including assessment preparation, quality documentation, corrective actions, and compliance initiatives.
  • Serve as the administrative liaison for the Laboratory Information Management System, coordinate with the software vendor to resolve issues, assist with updates, test functionality, and provide first-level support.
  • Assist staff with troubleshooting information technology, telecommunications, and network issues while coordinating with University Information Technology and external vendors.
  • Use Microsoft Office applications, laboratory information management software, MediaLab, University administrative systems, and other business applications for operations, reporting, communication, and documentation.
  • Recruit, interview, hire, train, schedule, supervise, and evaluate student employees supporting office operations and specimen receiving.
  • Assign work, monitor performance, provide coaching and training, approve payroll through the University timekeeping system, ensure staffing levels, and develop training materials, administrative procedures, and standard operating procedures.
  • Coordinate shipping and receiving activities, manage shipping vendor accounts and contracts, track shipments, maintain submission-supply inventories, coordinate shipment of collection materials, and assist with specimen accessioning during increased workloads.
  • Participate in required packing and shipping training and ensure compliance with University, Department of Transportation, and International Air Transport Association requirements.
  • Serve as the liaison with University Facilities, housekeeping, Environmental Health and Safety, telecommunications, and other campus service providers.
  • Coordinate building maintenance, repairs, renovations, equipment service requests, and operational support.
  • Provide direct support to the laboratory director for special projects and participate in process-improvement initiatives supporting operational efficiency, customer service, regulatory compliance, and laboratory strategic goals.
