Requirements
  • An Associate’s degree in data management, information systems, higher education administration, operations, human services, social work, or a related field, or a high school diploma with at least two years of relevant experience in data entry, record maintenance, reporting, or related administrative or coordination roles.
  • A valid driver’s license or evidence of access to reliable transportation.
  • Ability to maintain a high level of attention to detail while handling sensitive or confidential information in accordance with established policies and requirements.
  • Proficiency with Microsoft 365 applications, including Excel for data entry, basic analysis, and formatting, Outlook, and Teams.
  • Ability to manage multiple tasks, maintain orderly records, and meet deadlines in a structured, process-driven environment.
  • Effective written and verbal communication skills, including the ability to provide clear guidance, produce understandable data summaries, and respond professionally to inquiries.
  • Customer service skills and responsiveness when supporting training participants, instructors, and internal partners.
  • Ability to present information clearly using basic tables, charts, or summaries to support decision-making and continuous quality improvement.
  • Professional judgment and discretion in applying policies, handling data, and responding to participant and stakeholder needs.
  • Ability to work collaboratively as part of a team and support cross-functional coordination.
  • Willingness and ability to travel regularly within New Hampshire to support training delivery or other activities.
Responsibilities
  • Assist the Program Manager of Operations with preparing accurate reports, summaries, tables, charts, and basic visualizations for program monitoring, sponsor requirements, and leadership decision-making.
  • Enter, verify, and maintain training participation, attendance, completion, and scheduling data across designated systems, and perform routine quality checks to identify and resolve errors, duplicates, or missing information.
  • Create, update, and manage training sessions, user accounts, rosters, schedules, and session metadata in designated systems.
  • Maintain data documentation, including file-naming conventions, data dictionaries, and standard operating procedure checklists.
  • Provide frontline technical support for learning management systems and registration platforms, including navigation, access issues, attendance verification, and completion records.
  • Respond to technical support requests and tickets, and follow up with users by email, phone, or video conference to ensure resolution.
  • Administer learning management and registration systems within assigned permissions by creating user accounts, managing enrollments, updating session information, and archiving records.
  • Document system issues, collect relevant artifacts such as screenshots or logs, and escalate unresolved issues to technical staff with clear context.
  • Draft and maintain short job aids or micro-guides for participant and instructor use, pending supervisory approval.
  • Handle participant and training data in accordance with confidentiality, privacy, retention, and sponsor requirements.
  • Scan, organize, name, and file training records, including attendance sheets, completion verifications, evaluations, and training resources.
  • Verify final agendas, instructor assignments, session identifiers, and titles in data systems before training delivery, and update records after events as needed.
  • Coordinate with trainers to collect documentation and data artifacts, including attendance confirmations, make-up session records, and updates to training descriptions or materials.
  • Support trainers with audiovisual and basic technical assistance for in-person and virtual trainings, and assist with training materials and room setup.
  • Disseminate training-related communications, such as roster cutoff reminders and evaluation notices, as directed by CWEP leadership.
  • Provide conference or large-scale training event support related to documentation, equipment, and data logistics.
  • Clean, organize, and prepare attendance and evaluation datasets for analysis, including merging session metadata and response files to produce analysis-ready datasets.
  • Prepare standardized evaluation summaries, response-rate reports, comment compilations, and item-level exports for internal quality-assurance reviews and quarterly or annual reporting.
  • Assist with ensuring the completeness, accuracy, and organization of training and evaluation data used for continuous quality improvement, compliance monitoring, and sponsor reporting.
  • Monitor designated quality-assurance and training-data inboxes, respond to routine inquiries, route non-data questions, and maintain response documentation.
  • Assist in collecting and compiling customer feedback, frequently asked questions, and software or internal-system issues to improve system quality and efficiency.
