Requirements
  • At least two years of Front Office Receptionist work experience is required.
  • Spanish language skills are required.
  • A High School Diploma or equivalent General Educational Development credential is required.
  • Bilingual proficiency in English and Spanish is required.
  • At least one to two years of prior work experience in a front office receptionist role is required.
  • Ability to take initiative, pay attention to detail, and independently follow assignments through to completion.
  • Ability to communicate effectively in English and Spanish in person and over the phone.
  • Ability to use a computer and basic Microsoft Office and Outlook software, including Excel, Word, and PowerPoint.
  • Ability to actively listen and ask appropriate questions to determine patients' and visitors' needs.
  • Ability to multitask in a fast-paced clinic environment.
  • Ability to complete tasks efficiently and correctly.
  • Ability to provide patients and visitors with a high level of customer service.
  • Ability to prioritize assignments, apply organizational skills, and maintain a high level of attention to detail.
  • Ability to use office equipment such as a postal electronic mailing meter, faxing equipment, and scanning equipment.
  • Ability to work evening or weekend shifts as needed.
  • Ability to fulfill immunization and fit-for-duty regulatory requirements.
  • Ability to sit for prolonged periods at a desk and work on a computer, use a mouse, keyboard, and headset, work amid moderate to loud noise and intermittent interruptions, and lift up to 15 pounds at times.
Responsibilities
  • Greet, welcome, and assist all clients entering the waiting room; process clients with appointments; and notify clients in advance of expected wait times.
  • Answer inquiries regarding general clinic information while maintaining a professional demeanor.
  • Answer incoming calls, provide assistance, make appointments, route calls as appropriate, and provide information to callers.
  • Call clients to confirm next-day appointments and perform cancellations or rescheduling based on client contracts.
  • Process walk-in appointment requests according to established procedures.
  • Provide alternative medical service information to new clients who cannot be seen because of scheduling constraints.
  • Enter and confirm billing and demographic data in the Practice Management System during client check-in, including vital demographic data and authorized signatures.
  • Verify arrival timeliness and collect new-patient private-pay deposits.
  • Document information clearly on the superbill.
  • Prepare charts and superbills in advance for appointments for new and established clients.
  • Assist nurses by serving as a resource for overflow calls to nurses' phone extensions.
  • Take detailed messages and provide information to callers as needed.
  • Route nurse messages in a timely manner.
  • Handle patient payments and accurately reconcile receipts and charges.
  • Maintain the patient waiting room in a clean and orderly condition during clinic operating hours.
  • Inform appropriate staff when repairs or maintenance are needed.
  • Schedule and maintain appointments in the Practice Management System, including phone appointment requests transferred from other employees and appointments made during client discharge.
  • Inform scheduled patients about payment obligations, required documents, and clinic policies and procedures.
  • Maintain control of daily superbill copies and submit them to the supervisor for reconciliation with Master Superbill Control Sheets.
  • Call patients to make follow-up appointments or mail letters at providers' request.
  • Transfer calls to internal extensions, page overhead to locate call recipients, and page staff as necessary.
  • Perform Care Team responsibilities outlined in the Care Team Patient-Centered Medical Home procedures.
  • Perform other assigned duties.
Desired Qualifications
  • Prior experience working in health-care or community health clinic customer-service-oriented environments is highly desired and preferred.
  • An Associate Degree in Business Administration or customer-service certifications is highly desired.
  • At least two years of work experience in a health-care or community health setting is preferred.
  • Prior experience working in a customer-service-oriented environment is highly desired.
  • Experience with Electronic Health Records, including EPIC, is desired.
