Requirements

Responsibilities
  • Assist with office correspondence and communication.
  • Update department mailings, emails, announcements, and reports.
  • Assist with department meetings by preparing agendas and minutes, reserving rooms, and sending calendar invitations.
  • Schedule meetings and make room reservations.
  • Manage office supply inventory and equipment, including computers, under the director's supervision.
  • Assist with data collection for retention, grant, and departmental goals, reports, and information requests.
  • Train student workers, schedule their tasks and hours, and assist with their supervision.
  • Verify and submit student-worker hours using the appropriate software.
  • Create processes and follow up on work assignments.
  • Set expectations for student workers.
  • Attend assigned meetings and professional development opportunities.
  • Serve on university or division committees.
  • Assist with travel planning, cash advances, and expense reimbursements.
  • Create and process university forms and office documents, including expense reports, purchase requisitions, work orders, and information-technology requisitions.
  • Manage departmental procurements using university systems.
  • Utilize, assist with, and document procurement-card expenses for departmental purchases.
  • Coordinate mass mailings and emails for retention efforts.
  • Compile invitation lists and distribute event invitations.
  • Compose and develop marketing materials and invitations for special department programming.
  • Manage incoming department telephone calls and serve as the first point of contact.
  • Contribute to the department's social media presence as assigned.
Desired Qualifications
  • More than one year of administrative-support experience in higher education or a relevant field.
  • More than one year of expense management experience.
  • More than one year of computer skills and knowledge.
  • An associate degree or professional certification.
  • Knowledge of inventory and record keeping.
  • Knowledge of and experience with procurement processes.
  • Knowledge of event or travel planning.
  • Ability to plan, assign, and supervise the work of student workers.
  • Participation in professional development workshops, seminars, and training related to current position responsibilities.
  • Ability to work effectively with students, faculty, administrators, and people across multiple organizational levels.
  • Experience working with populations from different ethnic, socioeconomic, and cultural backgrounds.
