Requirements
  • A bachelor's degree in a related field is required, although significant experience in equivalent roles may substitute for the degree requirement.
  • Three years of experience in accounts payable or related business experience is required.
  • Excellent organizational, analytical, written communication, and verbal communication skills are required to communicate effectively with internal and external stakeholders.
  • Outstanding time-management skills and close attention to detail are required, along with the ability to prioritize competing demands.
  • The ability to work independently and collaboratively, make and implement decisions, and follow through in a fast-paced, time-sensitive environment is required.
  • Experience and ability to work with computer applications, including Microsoft products, is required.
  • The position requires compliance with applicable policies, procedures, regulations, financial processes, and information-protection requirements, including HIPAA Protected Health Information safeguards.
  • The employee must be available and willing to provide assistance or coverage for colleagues and perform other duties or projects within the expectations of the position.
Responsibilities
  • Process invoices, reimbursements, refunds, credits, and related items accurately and timely in the Enterprise Resource Planning software, including items paid directly or matched to purchase orders.
  • Identify and address issues requiring additional intervention during invoice and payment processing.
  • Process miscellaneous and non-supplier invoices, including patient, student, and insurance refunds, in the Enterprise Resource Planning software.
  • Ensure invoices and expense reimbursements contain required documentation and approvals and comply with applicable policies, procedures, and regulations.
  • Review unapproved invoices and invoice exceptions for errors or resolutions and collaborate with stakeholders to resolve them.
  • Develop a weekly review process for processed invoices to proactively identify and resolve processing errors or inconsistencies.
  • Review purchase orders in received status and conduct supplier statement research and reconciliation to identify or prevent processing issues.
  • Establish working relationships with suppliers to research and resolve invoicing discrepancies and issues.
  • Maintain supplier-file processes and standards so invoices and payments are processed and issued to the correct supplier, location, and payment method.
  • Improve the supplier invoice submission process and identify and onboard suppliers to electronic data interchange.
  • Develop and implement a monthly audit process to identify invoice-processing errors, inconsistencies, and improvement opportunities.
  • Respond to inquiries and assistance requests concerning invoice or reimbursement processing, policies, and payment status.
  • Assist, educate, and support departments, colleagues, and suppliers with invoice and reimbursement processing requests.
  • Maintain accessible records to support and comply with financial processes and regulations.
  • Collaborate with Accounts Payable, Sourcing and Contracting, Data Integrity, Receiving and Distribution, Finance, Treasury, and other health-system departments to support operational missions and customer service.
  • Provide assistance or coverage for colleagues and perform additional duties or projects as assigned or reassigned based on office demands.
