Requirements
  • A Bachelor’s degree and a minimum of 2 to 3 years of experience, or an equivalent combination of education and experience, are required.
  • Superior organizational skills and a passion for logistics.
  • Excellent writing skills and attention to detail.
  • Experience with data collection, iterative program assessment, and data-informed decision-making.
  • Facility with Microsoft Word, Excel, and Google platforms, and the ability to quickly learn programs such as Qualtrics for survey creation.
  • The ability to maintain focus under pressure and adjust to accommodate program and client needs.
  • The ability to work independently and collaboratively.
  • A cover letter and resume must be submitted for consideration.
Responsibilities
  • Lead recruitment efforts, with support from the Program Manager, to recruit a full cohort of 29–34 VISTAs for the upcoming program year, including reviewing applications, communicating with candidates, conducting or coordinating initial phone interviews, providing technical assistance, tracking candidate status, and sending follow-up and retention communications to ensure accepted candidates complete required tasks.
  • Maintain the Recruitment Tracker spreadsheet and Dashboard, and train part-time staff in their use.
  • Create agendas and convene weekly recruitment team meetings; support program promotion through social media and recruitment fairs as needed.
  • Oversee the VISTA monthly reporting process by tracking and downloading submissions, following up with VISTAs who have not submitted reports, and assisting the Program Manager with quantitative data for biannual AmeriCorps reports.
  • Track attendance at trainings and events, administer absence reports, and follow up with VISTAs for record keeping; compile and analyze data for reporting, including the PHENND Annual Report and Progress Reports.
  • Support orientation and training for current VISTA members; collaborate with the VISTA Program Manager on the overall schedule and manage training logistics, including room reservations, catering, and video conferencing.
  • Create or improve lesson plans for trainings and workshops under the guidance of the VISTA Program Manager, including soliciting feedback from VISTAs.
  • Lead planning and organization of the annual Life After VISTA/AmeriCorps professional development conference and develop other sessions as appropriate.
  • Organize program processes and documentation, including orientation and training calendars, manuals for recruitment, orientation and check-ins, documentation templates, and electronic program files.
  • Support the agency director with the VISTA payroll process by serving as a payroll administrator.
  • Track reimbursements to VISTAs biweekly and handle purchases such as SEPTA Keys, grocery subsidies, workshop registrations, and food orders for monthly trainings.
  • Track VISTA attendance at trainings and events and personal and sick leave; collect and maintain personnel files, clearances, and other paperwork required for school-based VISTAs.
  • Create purchase orders in Ben Financials for VISTA supplies and food for trainings and events; execute the yearly MOU process with sites and quarterly invoicing.
  • Support sites with development of job descriptions and VISTA Assignment Descriptions, including entering relevant information into eGrants.
  • Communicate regularly with sites during recruitment season and assist the Program Manager with New Site Orientation, VISTA/Supervisor Orientation, and the midyear reflection workshop.
  • Participate in selecting VISTA host sites by reviewing applications, communicating with applicants, and providing feedback.
  • Supervise the part-time Recruitment Coordinator and MSW Intern if the intern holds an MSW degree.
