Requirements
  • An Associate’s Degree in Accounting or 3–4 years of commensurate experience; if equivalent experience is used, a High School Diploma is required.
  • At least 2 years of experience with computerized, multi-state payroll systems and multi-company processing.
  • Experience handling complex national-scale payroll for more than 1,000 employees.
  • Advanced experience with human resources information systems and time and attendance software.
  • Knowledge of federal, state, and local employment requirements related to wage and hour laws, payroll tax, and multi-state payroll, including multi-state Fair Labor Standards Act pay rules.
  • Strong Microsoft Office skills, particularly Microsoft Excel, Microsoft Word, and Microsoft Outlook.
  • Ability to calculate wages, wage garnishments, interest, commissions, average rate of pay, percentages, deductions, final paychecks, and paid time off accruals and balances.
  • Strong analytical, quantitative, problem-solving, and technical skills.
  • Ability to train others on payroll systems, processes, and reporting.
  • Ability to establish and maintain cooperative working relationships and provide customer service to internal and external customers.
  • Ability to organize, prioritize, multitask, and manage time effectively.
  • Demonstrated accuracy and productivity in a changing environment with constant interruptions.
  • Ability to analyze information, problems, issues, situations, and procedures to develop effective solutions.

Responsibilities
  • Process and report all payroll activity while ensuring data integrity, timely completion, and compliance with company policies and government regulations.
  • Coordinate workflow to ensure that all bi-weekly payroll timelines are met.
  • Confirm payroll transactions comply with federal, state, and local laws and company policies and procedures.
  • Manage the payroll email inbox and respond timely to questions, concerns, and data-entry requests.
  • Assist with the development, maintenance, and implementation of automated payroll systems, including time and attendance systems.
  • Help ensure that systems and processes correctly compute and record time, earnings, employee benefits, special deductions, mandated benefits, taxes, garnishments, and other items affecting net pay or company liability.
  • Review co-worker data entry for accuracy.
  • Audit bi-weekly time and attendance hours for accuracy and balance before payroll transmission, including hours worked, overtime rules, alternate work schedules, paid time off, and holidays.
  • Process accurate deductions and remittances for garnishments, child support, Internal Revenue Service levies, and court orders.
  • Compile bi-weekly, monthly, quarterly, and yearly payroll reports for Finance and management, researching and resolving exception items as needed.
  • Assist with periodic analyses of earnings, taxes, deductions, accruals, forecasts, and hours worked for management.
  • Assist with preparing and reconciling year-end reporting.
  • Work with Human Resources and Regulatory and Compliance departments to assist Payroll Leadership in developing integrated policies and procedures and providing periodic reports.
  • Assist with developing documentation for compliance with Sarbanes-Oxley Act Section 404 internal controls.
  • Reconcile and resolve payroll issues, concerns, and questions internally and externally.
  • Communicate professionally with all employees.
  • Assist with creating and reconciling Form W-2s, wage and tax registers, and other year-end activities.
  • Assist with annual workers’ compensation audits conducted by regulatory authorities and insurers.
  • Train new staff members while ensuring payroll and reporting deadlines are met.
  • Ensure paid time off accruals and balances are current and accurate.
  • Manage 401(k) contributions and reporting.
  • Manage historical document retention and organize documentation records and filing.
  • Keep Payroll Leadership informed of payroll-related issues.
  • Perform other duties as assigned and comply with company policies and standards.
