Requirements

Responsibilities
  • Coordinate office operations for a physician assistant site location and provide administrative support to faculty, staff, instructors, and students.
  • Process electronic CASPA applications, conduct initial qualification evaluations, download application batches, upload them to Colleague, resolve upload errors and ambiguities, and update applicant information and status.
  • Enter applicant GPA, GRE scores, and coursework evaluations into algorithm spreadsheets, pipeline reports, and ad hoc reports.
  • Train and support faculty and staff on admissions processes and university policies, troubleshoot MyBarry Accounts, CASPA, and the Barry website, and participate in admissions-platform improvement initiatives.
  • Attend admissions meetings, webinars, and quarterly telephone conference calls, and collaborate with university staff and external parties on applications, transcripts, GRE records, document sharing, and deposit payments.
  • Maintain the PA program database, document libraries, permissions, surveys, reports, catalog entries, and program webpages in support of ARC-PA accreditation and self-study activities.
  • Provide orientation and training on program data systems and products, and serve on program teams and committees by developing agendas, minutes, and reports.
  • Maintain the learning management system, including student lists, assessment timing, merged sections, course content, exams, assignments, and announcements.
  • Create and maintain course and clinical schedules, coordinate schedule changes, review syllabi for conflicts, and communicate schedule information to students and faculty.
  • Print and format clinical skills exams, create student pairings and exam schedules, coordinate patient-care visits, and schedule lab instructors, proctors, and professional patients.
  • Monitor student flow and attendance during labs, maintain equipment and supplies, organize physical-diagnosis lab inventory, update attendance systems, and generate attendance reports.
  • Input clinical information into databases and assist faculty and staff with the learning management system.
  • Proctor exams and supervise students in classrooms and distraction-free testing environments according to accommodations.
  • Receive visitors, answer telephones, take messages, respond to questions, transmit information, compose and revise correspondence and administrative materials, file and sort documents, and distribute mail and packages.
  • Assist with physician assistant program events, including new-student and clinical orientation.
  • Plan and coordinate orientations, conferences, ceremonies, retreats, Medical Spanish events, clinical orientations, and interprofessional education events.
  • Facilitate program-wide events, reserve rooms and classrooms, and coordinate with vendors for food and equipment.
  • Track student compliance with program requirements as a backup medical-compliance liaison.
  • Maintain the program calendar, submit work orders, coordinate information-technology technicians, and communicate with university and partner organizations.
  • Coordinate local community events, participate in educational events promoting the university and physician assistant program, and prepare materials for projects, reports, meetings, and presentations.
  • Order office and medical supplies and liaise with facilities management regarding office facilities.
  • Provide backup support for administrative assistants in Miami and St. Petersburg.
Desired Qualifications
  • An Associate's degree or vocational/technical training is preferred.
