Requirements
  • Graduation from high school or equivalency and four years of work experience as a secretary or in a related clerical position; experience and training must include records management, research, data entry and retrieval from computer terminals, and use of personal computers for word processing or spreadsheets. Education and experience may be substituted one for the other on a year-for-year basis.
  • Ability to type 60 words per minute net and/or proficiency in using computers for filing systems, word processing, and spreadsheets, depending on departmental requirements.
  • Depending on department needs, demonstrated ability to take dictation, speed write, and accurately record meeting minutes in an efficient and satisfactory manner may be required.
  • Ability to operate standard office equipment and other specified technical equipment.
  • Ability to be well organized, meticulous, and able to prioritize tasks.
  • Ability to develop and manage automated and complex filing systems.
  • Knowledge of office procedures, Business English, proper correspondence formats, and letter and memorandum composition.
  • Considerable knowledge of divisional operations, departmental procedures and systems, and related laws and regulations.
  • Good research and mathematical skills and ability to use calculators.
  • Ability and means to travel between the office and other worksites or locations when necessary to collect or distribute information.
Responsibilities
  • Compile and maintain records of departmental or divisional transactions and activities.
  • Perform clerical duties using knowledge of departmental systems, operational procedures, and specialized office equipment.
  • Compose and type correspondence, technical reports, and summary data.
  • Perform routine posting, calculating, data compilation, and statistical computation.
  • Analyze and organize information to prepare reports and studies required by the department.
  • Present reports to professional and managerial staff in written form.
  • Answer phones, provide information to callers, research requested information, and independently follow through on requests verbally or in writing.
  • Interpret federal, state, city, and departmental policies and relay that information to the public, department personnel, and other city employees.
  • Receive and process applications, bids, and service requests; determine eligibility, responsiveness, and compliance with required specifications; and document decisions.
  • Meet with employees, contractors, and members of the public to explain policies, procedures, and department decisions.
  • Provide technical and clerical support to departmental committees and boards.
  • Transcribe meeting minutes, follow up on board assignments, and provide project details or required actions to individual board members.
  • Prepare agendas, contact attendees, and assemble board materials or information packets needed for board or committee decisions.
  • Post and notify the public of scheduled meetings and decisions in accordance with state statutes and city policy.
  • Operate computers to maintain, track, and retrieve data; determine computer formats for reports and data collection; and catalog, file, and record data according to departmental policies and procedures.
  • Perform the duties of Office Technician I.
  • Perform mathematical calculations to assist with project cost estimates and contractor-bid reviews when needed.
  • Prepare initial figures for project cost analysis and budget planning.
  • Perform related technical duties and special projects as assigned.
