Requirements
  • A high school diploma or GED equivalent is required.
  • At least one year of experience in accounts payable is required.
  • General experience with computerized accounts payable systems and software is required.
  • Proficiency with Microsoft Word, Excel, and Outlook is preferred.
Responsibilities
  • Establish and maintain relationships with new and existing vendors and handle vendor correspondence by phone or email.
  • Investigate and resolve problems associated with processing invoices and purchase orders.
  • Handle accounts payable for separate entities and vendors using accounting software.
  • Ensure invoices, expense reports, and corporate credit card charges are coded appropriately and approved timely by designated personnel prior to payment.
  • Ensure invoices, expense reports, and corporate credit card charges are paid timely and accurately while adhering to departmental procedures.
  • Code charges for expenses allocated across departments within the organization.
  • Ensure corporate purchasing card users submit receipts and transaction descriptions in accordance with organizational policies.
  • Prepare batch check runs, wire transfers, and automated clearing house transactions.
  • Process remittance information from checks, drafts, and wire transfers for vendor invoices, determine proper disposition from accompanying instructions, and credit accounts according to standard procedures.
  • Receive, research, and resolve routine internal and external inquiries concerning account status, and communicate discrepancy resolutions to appropriate persons.
  • File, maintain, and distribute accounting documents, records, and reports.
  • Complete monthly status reports, monthly closings, and annual external reporting, including 1099s, property tax exemptions, and redemption filings.
  • Review and ensure coding of invoices, expense reports, and other charges, and set up vendors in the accounts payable system.
  • Enter and manage new vendors with correct accounting coding, updated pricing, and catalogs.
  • Complete other assigned duties and projects.
