Responsibilities
  • Make outbound calls to candidates who have applied or expressed interest, introduce yourself professionally, confirm continued interest, and provide basic information about the next step in the hiring process.
  • Schedule candidates for available career overviews and interviews, help applicants select appointment times, and send or confirm scheduling information.
  • Verify upcoming appointments, follow up before scheduled interviews, contact applicants who missed appointments, and help interested candidates reschedule.
  • Answer basic questions about scheduling and interview logistics, directing detailed position-specific questions to the appropriate recruiter or hiring manager.
  • Monitor upcoming appointments, confirm scheduled candidates, follow up when appropriate, reschedule missed appointments, identify candidates who still need to schedule, keep candidate statuses current, and communicate scheduling information to the recruiting team.
  • Record call outcomes and conversation notes; update candidate statuses and contact information; maintain appointment records, follow-up lists, and records of scheduled, confirmed, missed, and rescheduled appointments.
  • Communicate with candidates by phone, email, and text when applicable, assist with reminders, coordinate with recruiters and hiring managers, escalate candidate questions, and help keep the recruiting pipeline organized.
  • Make frequent outbound calls, leave professional voicemails, move efficiently between conversations, and work toward daily activity and appointment goals.
  • Learn and use online scheduling platforms, Calendly, Zoom, email, phone, text messaging, online calendars, applicant tracking systems, recruiting platforms, and candidate-management tools.
  • Complete required training on phone scripts, applicant outreach, appointment setting, scheduling systems, candidate follow-up, confirmations, rescheduling, recruiting-system navigation, candidate documentation, call tracking, note-taking, time management, productivity, and common candidate questions.
  • Support candidate engagement and appointment attendance by connecting interested applicants with opportunities, reducing missed interviews, improving follow-up, and keeping recruiting pipelines organized.
Desired Qualifications
  • Previous recruiting, call-center, or appointment-setting experience is helpful but not required.
  • Experience in appointment setting, customer service, recruiting, call centers, reception, administrative support, scheduling, inside sales, lead follow-up, client services, staffing, talent acquisition, customer support, hospitality, retail, front desk, or office administration may transfer well.
