Requirements

Responsibilities
  • Manage the building-request email inbox, ensuring incoming requests are correctly delegated and handled promptly.
  • Approve and schedule vendor work for tenants, coordinate access to tenant spaces, follow up on completion, and close out work with the Assistant Property Manager.
  • Communicate with tenants regarding construction projects.
  • Follow up on elevator issues and notify tenants of service restrictions.
  • Initiate invoice approval processes, review contracted invoices, and approve vendor and miscellaneous invoices.
  • Close out Angus tickets and follow up with tenants on noise and odor tickets.
  • Monitor the Hot List and review urgent items with the Assistant Property Manager.
  • Maintain the Purchase Order log, including weekend work updates and daily notes, and review it with the Assistant Property Manager.
  • Assist tenants with special requests and inquiries.
  • Work with the Assistant Property Manager on new Summary Agreements and contracts as needed.
  • Add security invoices and miscellaneous charges to COVE work-order tickets.
  • Contact base-building engineers for updates on open projects and deliveries and record updates in the Purchase Order log.
  • Review weekend work and incident reports and videos from the Director of Security, following up to ensure documents are signed off and sent to Corporate.
  • Conduct weekly walkthroughs of base-building areas with the Senior Property Manager and Assistant Property Manager.
  • Send accruals to accounting and complete the Asset Report, COVE billing verification, COVE uploads, Utilities Summary Sheet, tenant services sales updates, and Tenant Waste Data Report.
  • Coordinate with the Fire Life Safety Director to add summons and hearing dates to the calendar.
  • Send tenant-wide building news by email when holidays or RXR tests affect tenants.
  • Review and address open building-account invoices with security quarterly.
  • Assist with building reporting, including Public Light and Power reporting, and assist with the budget in Kardin.
  • Schedule Convector and Window cleaning with tenants and base-building engineering.
  • Work with the AVP and Senior Property Controller on Service Recovery true-ups and requested information.
Desired Qualifications
  • Experience in a customer-facing position.
  • Knowledge of COVE and Yardi property-management software.
  • Experience with Monday.com project-management software.
  • A college degree.

Founded in 2019, Handle consolidates and automates payment tracking, invoicing and lien management for construction firms.
