Requirements
  • A master's degree, preferably in business, finance, or a related science field.
  • Five to seven years of progressive professional business or management experience, including experience in a clinical or healthcare environment, budgeting, grants and contracts, personnel supervision, and space and facilities management, or an equivalent combination of experience, education, and training.
  • At least two years of current or previous Duke experience is required.
Responsibilities
  • Schedule and direct division meetings, programmatic communications, and operational planning in concert with Division Directors as it relates to Clinical Faculty.
  • Provide financial and programmatic oversight for Clinical Faculty.
  • Serve as the administrative liaison for the Division with programs across Duke and affiliate sites.
  • Ensure that administrative services in the Division comply with applicable Department and institution policies and procedures.
  • Provide administrative direction and coordinate day-to-day functions, including those involving other Duke entities whose work impacts the Division.
  • Ensure that the Division’s clinical webpages are maintained and reflect current information in collaboration with the Director of Communications.
  • Partner with Clinical Division Directors and the Duke Service line leader to facilitate management of the clinical enterprise for the Department of Psychiatry and Behavioral Medicine.
  • Oversee facilitation of clinical FTE, rotations, site locations, and clinical productivity for each faculty provider.
  • Manage clinical contracts with Department Finance and Division Directors.
  • Develop strategic business planning and modeling for the clinical future of the Divisions.
  • Support the recruitment process, including drafting term sheets and offer letters.
  • Manage the clinical faculty portion of the annual budget process for the School of Medicine and Duke Health Integrated Practice in coordination with the Psychiatry Finance team.
  • Manage financial resources for the Division, including financial planning, budgeting, and accounting functions.
  • Exercise delegated independent judgment and decision-making authority to facilitate optimal use of resources.
  • Coordinate, monitor, and manage separate budgetary programs within the Division.
  • Direct faculty discretionary and divisional operational codes and analytical review.
  • Hold staff and faculty accountable to Department and Duke financial management policies involving personnel/payroll, purchasing, budget management, and travel.
  • Coordinate preparation of regular financial reporting.
  • Provide planning, budgeting, and accounting functions for operating, capital, and gift budgets.
  • Review financial reports and records analytically and initiate corrective action.
  • Provide fiscal guidance and counsel to faculty and staff.
  • Coordinate, analyze, and implement periodic reporting for leaders and clinical faculty on productivity metrics and FTE management.
  • Manage a team of 4–5 clinical administration support staff.
  • Refine and develop administrative processes that provide support services needed for the Division’s continued success and strategic growth.
  • Implement faculty and staff policies and procedures in coordination with department Human Resources and central administrative teams.
  • Manage administrative aspects of faculty appointment, promotion/tenure, and non-renewal processes in partnership with the Department’s APT Team.
  • Support the annual faculty and staff performance evaluation process, including communication and completion of evaluations.
  • Recruit, interview, select, and critically evaluate the performance of staff who report to the DA.
  • Provide oversight and assistance for Clinical Division faculty in recruiting and onboarding new personnel as needed.
  • Understand grants and contracts funding sources and their impact on Clinical Faculty portfolios and FTE management.
  • Manage faculty salary distribution on research fund codes in coordination with the Research Administration Team.
  • Manage effort and distribution of faculty total professional effort and ensure annual effort reporting and certification.
  • Collaborate with central administrative staff to ensure timely invoicing, collection, and mitigation of potential overdrafts or write-offs related to sponsored research activity.
  • Manage cost-share obligations and commitments.
  • Coordinate support services necessary to ensure operation of the Division’s facilities.
  • Administer remodeling projects and development, including design, implementation, and relocation.
  • Analyze space and equipment and prepare timely annual space and capital reporting.
  • Review space-use efficiency and additional space requests by faculty.
  • Collaborate with faculty and staff to manage capital equipment and assets.
Desired Qualifications
  • Experience in an academic medical center setting with matrixed reporting relationships, shared-services models, and/or research administration.
  • Proven capacity to generate, revise, and monitor budgets.
  • In-depth knowledge of advanced Excel functions for developing and presenting critical, confidential information.
  • Ability to work independently in a fast-paced environment, make sound judgments, handle confidential information, and solve problems creatively.
