Position Summary
We are seeking a tech-savvy, detail-oriented, and self-motivated professional with outstanding interpersonal and communication skills to join our Legal Department. The Legal Coordinator will support the operations of the Contracts Team by managing the intake process for contracts, maintaining, and updating information in various systems, and serving as the primary contact for NDAs. Additionally, the Legal Coordinator will provide administrative assistance to the Contracts Team, which includes three attorneys and several contracts professionals.
The ideal candidate has proven experience working collaboratively within a high-performance team and effectively balancing the needs of busy professionals. This role will report directly to the VP, Deputy General Counsel.
Primary Responsibilities
Manage intake of new contract requests, including confirming assigned Legal Department resources and asking preliminary questions.
Create, maintain, and update information in a matter management system, contract lifecycle management tool, and other databases.
Draft, review, and revise certain contracts (NDAs, amendments, and other simple agreements), as directed.
Schedule meetings and conference calls using Microsoft Outlook. Manage calendars to ensure optimal scheduling and coordination, proactively resolving conflicts and prioritizing key meetings.
Assist Contracts Team with contracts, including document formatting, editing, generating comparisons, routing to stakeholders, coordinating signatures, tracking and following up on status, and drafting correspondence.
Generate reports on contract activity to support Contracts Team’s management and prioritization of work. Monitor, analyze, and report on Contracts Team data.
Identify and provide internal clients with applicable contract templates. Assist internal clients with properly completing templates. Review completed contracts.
Assist with maintaining and updating standard contract templates/playbooks.
Train internal clients and Legal Department colleagues on NDA process, NDA templates, and use of Adobe Sign. Champion proper use of technology tools.
Provide administrative support on special projects as needed. Perform such other duties as may be assigned from time to time.
Additional Responsibilities
Process invoices via Ariba (track against budgets), new vendor setups, and POs.
Prepare and process expense reports using Concur.
Coordinate, plan, and schedule travel and itineraries for the Contracts Team.
Assist with preparing reference materials, training guides/manuals, PowerPoint presentations, meeting agendas, etc.
Conduct legal research to gather relevant information.
Perform other general administrative duties, including filing, sorting and directing mail, preparing overnight courier packages, ordering supplies, photocopying, scanning, etc.
Provide backup support for other administrative personnel.
Qualifications
Bachelor’s degree required.
2+ years of administrative/office support (experience in a legal environment preferred).
Extensive Microsoft Office Suite and Adobe Acrobat experience and skills, including advanced knowledge of document editing, shortcuts, and Excel formulas.
Contract lifecycle management, matter management, SharePoint, OneDrive, and/or other workflow or document management software experience preferred.

The salary range for this role is:
$24.51 - $35.27
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. Our compensation is based on cost of labor.
