Requirements
  • Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; or an associate degree in general office occupations and two years of this experience; or an equivalent combination of education and experience.
  • Ability to create and maintain balanced rosters using the Institution Staff Deployment System or similar systems while meeting deadlines and minimizing overtime.
  • Experience managing timesheets, reconciling discrepancies, and preparing accurate overtime reports within payroll timelines.
  • Understanding of union labor agreements and organizational policies for compliance with scheduling, bidding, and leave processes.
  • Ability to use Microsoft Excel for complex data analysis, pivot tables, formulas, and reporting to support staffing forecasts and audits.
  • Ability to handle sensitive information discreetly and comply with privacy protocols in a correctional environment.
  • Ability to identify employees who qualify for the Family and Medical Leave Act or Oregon Family Leave Act and apply required follow-up actions in compliance with policy.
  • Ability to communicate with executive leadership, managers, and staff and provide guidance on the Institution Staff Deployment System and scheduling impacts.
  • Ability to pass a Criminal Justice Information Services fingerprint-based background check and maintain Criminal Justice Information Services eligibility.
Responsibilities
  • Provide confidential clerical and administrative support to security operations and staff.
  • Manage and coordinate security staff deployment and scheduling through the Institution Staff Deployment System.
  • Monitor time, attendance, overtime, and leave usage, and prepare staffing reports and audits.
  • Facilitate shift, days-off, and vacation bidding cycles and support staff assignment decisions.
  • Maintain accurate Institution Staff Deployment System data, research discrepancies, and coordinate with leadership and human resources.
  • Support training scheduling, post relief coverage, and Field Training Program activities.
  • Assist with Family and Medical Leave Act and Oregon Family Leave Act monitoring, early return-to-work coordination, and collective bargaining agreement administration.
  • Prepare documentation for promotional interviews.
  • Provide periodic supervision of incarcerated workers when required.
  • Maintain proper tool and key control for the immediate work area and report institutional issues to appropriate personnel.
  • Provide assistance through recall or reassignment during institutional unrest and other emergency situations.
  • Operate computer video equipment for word processing, electronic mail, and specialized program access.
