  • A Bachelor's degree in Accounting, Finance, Business Administration, or a related field is required.
  • Seven years of progressive payroll experience, including leadership responsibilities, is required.
  • Advanced Excel skills, including reconciliations, large datasets, and analysis, are required.
  • Ability to manage and sustain payroll operations in a complex environment is required.
  • Knowledge of general ledger tasks and standard accounting principles is required.
  • Knowledge of federal and California payroll laws and tax reporting is required.
  • Knowledge of California State and Federal Wage and Hour Laws is required.
  • Knowledge of computerized Time and Attendance and Payroll/HR systems, including Workday payroll and Kronos, is required.
  • Written and verbal communication skills are required.
Responsibilities
  • Lead and oversee payroll and accounts payable functions, including daily operations, compliance, reporting, and process improvement.
  • Oversee end-to-end payroll operations in a complex physician compensation environment, including base salaries, bonus calculation methodologies, cost centers, and pay types.
  • Ensure accurate, timely, and reliable payroll processing.
  • Administer reimbursement workflows for travel, relocation, licensure and certification renewals, and continuing medical education.
  • Monitor payroll performance, issues, and operational risks.
  • Oversee integration of the timekeeping system with the payroll system.
  • Implement cross-training to strengthen team coverage and continuity.
  • Establish 401(k) contributions, coordinate payroll deductions and employer match funding, and ensure timely posting to participant accounts.
  • Ensure compliance with federal, California State, and local payroll tax regulations.
  • Manage bimonthly, quarterly, and annual payroll tax filings, reconciliations, and reporting, including W-2s, 941s, and state filings.
  • Ensure 401(k) compliance by withholding employee deferrals, calculating employer match contributions, remitting funds to the retirement plan provider, and setting up 401(k) loans in the payroll system.
  • Monitor regulatory changes and implement necessary updates.
  • Lead, develop, and mentor payroll support staff.
  • Establish best practices and standard operating procedures.
  • Provide oversight and guidance on payroll processes.
  • Review payroll outputs for accuracy and reasonableness before processing.
  • Partner with internal stakeholders on payroll-related matters.
  • Identify discrepancies or trends affecting financial reporting or workforce costs.
  • Establish and maintain internal controls over payroll processing.
  • Ensure audit readiness with appropriate documentation.
  • Mitigate risks related to overpayments, misclassification, and compliance gaps.
  • Use payroll-related systems including ADP, Concur, and QuickBooks, and work with system vendors to optimize employment processes.
  • Optimize system configuration, including pay codes, earnings and deductions structures, department setup, and reporting.
  • Maintain data accuracy through validation and review processes.
  • Support system enhancements that reduce manual effort while maintaining strong controls.
  • Manage the end-to-end accounts payable process, including invoice processing, payment approvals, expense allocations, and vendor communications.
  • Manage the employee expense report process, including processing, policy adherence, expense allocations, and employee communications.
  • Communicate with parties involved in accounts payable transactions and prepare and maintain system reports to manage accounts payable processes.
  • Maintain employee expense budgets.
  • Maintain internal controls and efficient operating processes and policies related to vendor maintenance, invoice processing, expense reports, travel processes, and disbursements.
  • Reconcile vendor statements with internal records to identify and correct discrepancies.
  • Oversee timely filing of workers' compensation premiums and HSA contributions.
  • Ensure payments are made accurately and on time.
Desired Qualifications
  • Certified Payroll Professional or similar certification.
  • Healthcare and/or provider payroll experience.
  • ADP Workforce Now payroll system experience.
