Requirements
  • Two years of post-high-school education and three years of related work experience, or an equivalent combination of education and experience.
  • Ability to make complex decisions independently and assist staff and faculty with complex decision-making in high-stress work environments.
  • Ability to multitask proficiently between Flowcast and eRecord systems.
Responsibilities
  • Ensure smooth and efficient patient-care flow through Perioperative Services and the Operating Room.
  • Support Anesthesia clinical coordinators, charge nurses, surgeons, faculty, and staff.
  • Prioritize critical patient cases and communicate emergency Operating Room changes and fluctuations.
  • Coordinate the duties of less experienced support staff as needed and train peers or less experienced support staff.
  • Serve as the primary liaison between staff and faculty inside and outside the Operating Room and maintain timely communication across the Operating Room and ectopic surgical locations.
  • Maintain the White Board in collaboration with the Anesthesia Clinical Coordinator and Charge Nurse, with appropriate follow-through.
  • Triage patient calls, assess the clinical urgency of each patient, and determine and communicate the appropriate action.
  • Maintain the manual Operating Room schedule as a backup in the event of electrical or computer failure.
  • Assess and triage Operating Room calls, pages, and STAT calls.
  • Book emergent cases and communicate and coordinate appropriate faculty and staff for off-shift and next-day cases.
  • Initiate printing and organization of the next day's patient call slips and wristbands.
  • Handle complaints from patients, faculty, nursing, and anesthesiology.
  • Answer incoming calls in the communications center and route them appropriately.
  • Monitor inventory, order supplies, manage and stock forms and supplies, and respond to requests from clinical staff.
  • Edit and correct registration and billing errors during the full registration process and identify ways to reduce follow-up, repetitive, or corrective work.
  • Use electronic medical record and scheduling software programs to facilitate workflow.
  • Manage the patient tracking system and ensure the correct location of patients.
  • Provide department-specific training and orientation, including hospital orientation, registration processes, and customer service.
  • Act as an information resource for departmental staff regarding registration and workflow activities.
  • Attend department education programs and educate other staff.
  • Assign patient transports and disseminate tasks to PSAs.
  • Monitor the pneumatic tube station and distribute its contents.
  • Distribute scrubs, witness consent signatures, fax charts, and pull charts for quality-assurance audits or patient-care follow-up.
  • Coordinate transportation for discharged or transferred patients as needed.
Desired Qualifications
  • Experience in an Emergency Department setting, including one year in a position demonstrating the ability to work with minimum supervision and direct an office operation.
  • Experience with medical terminology.
  • Ability to type accurately.
  • Skills related to achieving customer satisfaction.
  • Ability to deal calmly and efficiently with medical professionals during life-threatening situations.
  • Previous experience with PICIS and Flowcast.
  • Ability to maintain a strong customer service approach and handle diverse personalities.
