- A bachelor's degree or Higher National Diploma in any field is required.
- Strong spoken and written communication skills and a confident, courteous front-of-house manner are required.
- Solid calendar and scheduling skills for meeting rooms, vendor slots, and bookings are required.
- Comfort using Microsoft 365, including Outlook, Teams, Excel, and SharePoint, for email, calendars, trackers, and simple reports is required.
- Proven organization and follow-through are required, including keeping logs up to date, closing loops, and surfacing blockers early.
- Ability to coordinate janitorial personnel and interface professionally with vendors and building management is required.
- Availability to work on-site at the regional office during business hours is required.
- Welcome visitors; manage calls and the reception inbox; maintain the visitor log; and keep the front desk professional.
- Own conference room calendars and bookings; prepare rooms before use and reset them afterward, including screens or TVs, markers or flipcharts, and light refreshments as requested.
- Conduct routine office walk-throughs; keep the office clean, stocked, and presentable by coordinating janitorial schedules and tasks; and flag and follow up on issues.
- Coordinate visitor and contractor door access with on-site security, support basic incident response, and liaise with building management as needed.
- Log facility issues, raise service requests, schedule and supervise vendor visits for cleaning, maintenance, utilities, fumigation, air conditioning, and waste, and confirm completion.
- Handle incoming and outgoing mail and parcels, including receiving, logging, notifying or dispatching, and tracking exceptions.
- Arrange flights, local transport, and accommodation for visitors and staff on assignment; manage company guest lodging bookings and check-in/check-out handovers; support basic upkeep with janitorial staff; and share itineraries and arrival or check-in details.
- Maintain accurate trackers for visitors, conference bookings, vendor jobs, supplies and stock, deliveries, travel, and lodging, and share clear weekly office-status updates.
- Identify hazards, apply basic health, safety, and environmental controls, and promptly escalate risks or exceptions according to standard operating procedures.
- Experience in front desk or office administration, or facilities coordination.
- Experience managing travel and accommodation, including itineraries, check-ins, and local logistics.
- Familiarity with vendor service logs or work orders and basic building services such as air conditioning, utilities, and cleaning.
- Basic health, safety, and environmental awareness and incident logging or escalation experience.
- Light event support experience, including room setup and guest coordination.
- Knowledge of courier platforms and local service providers.
- Experience with SharePoint lists or simple spreadsheet templates for trackers.
