  • Be proficient with Windows-based software and Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook, Adobe Acrobat/Pro, document management and time entry systems, and intellectual property prosecution databases including Anaqua.
  • Have exceptional computer skills and the ability to learn new software applications quickly.
  • Understand artificial intelligence capabilities, limitations, and responsible use in a professional environment.
  • Be able to move around the work area, sit for extended periods, use a phone and computer, handle objects, use office equipment, and file materials, including lifting files and bending or standing as necessary.
Responsibilities
  • Provide general legal, administrative, and patent prosecution support to attorneys, patent agents, intellectual property timekeepers, and clients.
  • Maintain paper and electronic legal files; organize and file documents in designated order; and prepare, enter, proofread, and process legal and administrative correspondence.
  • Assist with coordination of incoming and outgoing file transfers.
  • Manage phone lines for supported attorneys, field calls, and convey messages as necessary.
  • Process time entry, open new matters, draft engagement letters, audit responses, maintain calendars, collate information, write reports, and prepare agendas.
  • Communicate with clients and maintain client preferences and contacts.
  • Research, generate, and update case status reports and intellectual property schedules for clients, attorneys, and other intellectual property timekeepers, and send reminders to timekeepers as necessary.
  • Process incoming postal, courier, original, and electronic mail; report communications from the U.S. Patent and Trademark Office to attorneys and clients; and ensure prompt responses to inquiries.
  • Process intake of new clients, assist with archiving emails, and search and print reports.
  • Work with the assigned billing specialist to prepare invoices, create cover letters, mail invoices, and manage demand bills.
  • Schedule travel and process expense reports, check requests, and business development activity.
  • Maintain and update foreign and U.S. patent prosecution files and case materials in physical files and electronic records management systems.
  • Prepare and transmit standardized correspondence relating to patent and trademark prosecution, including reporting letters, invoices, search reports, and status reports.
  • Review the docket daily to track all deadlines associated with patent and trademark prosecution and assist with daily clearance of deadlines.
  • Maintain the database of standardized form letters and assist with client invoices.
  • Assist with quality assurance review of patent and trademark filings and correspondence by noting errors observed during records maintenance duties.
  • Assist with checking and updating the status of patent and trademark cases with the U.S. Patent and Trademark Office and foreign patent and trademark offices when appropriate.
  • Assist with business development tasks, including reading client press releases, news articles, and regulatory documents and building business intelligence.
  • Perform overflow typing, filing, and photocopying as time permits and as requested by attorneys.
  • Assist with other department activities and perform additional assigned duties.
  • Work overtime as needed.
Desired Qualifications
  • A Bachelor’s Degree or equivalent experience is preferred.
  • Familiarity with firm-approved artificial intelligence tools such as Copilot, ChatGPT, or similar platforms to support daily workflow or improve work quality.
