Requirements
  • An Associate’s degree in a relevant field is required.
  • A minimum of 5 years of relevant experience providing executive-level assistance is required.
  • Ability to communicate effectively in oral and written form, with strong writing and editing skills.
  • General knowledge of office procedures and operations.
  • Ability to accurately prepare and maintain records, files, reports, and correspondence.
  • Ability to process and handle confidential information with discretion.
  • Proficiency in computer software, including Microsoft Office.
  • Ability to multitask and manage several projects simultaneously.
  • Knowledge of project management concepts.
Responsibilities
  • Provide high-level executive support to the Assistant Vice President and department, acting as an executive liaison and advising others on the executive’s activities and views.
  • Manage the executive’s calendar, prioritize meetings, and reschedule or cancel meetings as needed.
  • Manage executive travel arrangements and budget.
  • Create memos, reports, presentations, project timelines, and documents for distribution.
  • Prepare the executive for meetings and presentations and provide relevant information and materials.
  • Respond on behalf of the executive while handling confidential information, correspondence, and communications.
  • Prioritize and manage multiple projects and special assignments.
  • Lead the planning of annual and ad hoc special events.
  • Train and supervise lower-level clerical staff as needed.
  • Communicate with the research community, OVPRS groups, and external customers.
  • Complete special projects for the Office of the Vice Provost for Research and Scholarship.
  • Manage documentation regarding discussions and coordinate staff responses to action items.
  • Ensure action requests are delegated appropriately, oversee action-item status, and update the Assistant Vice President on completion.
  • Alert and brief the Assistant Vice President on emerging issues, initiatives, and projects, and provide status reports.
  • Compose and prepare confidential correspondence and documents, and follow up on correspondence requiring responses.
  • Review outgoing correspondence for executive approval and identify policy or viewpoint conflicts.
  • Create, process, and revise shipment labels and related documentation in compliance with regulatory requirements and institutional policies.
  • Coordinate with internal departments and external partners, including freight companies, vendors, Procurement, and Export Control, to resolve receiving, distribution, and shipment compliance issues.
  • Contact or respond to high-ranking individuals inside or outside the institution.
  • Interpret and adapt guidelines, policies, precedents, and practices.
  • Manage the Assistant Vice President’s calendar and schedule meetings with senior leadership, faculty, and staff.
  • Prepare meeting support materials, including agendas, participant lists, and background documents, and follow up on directives.
  • Collaborate with OVPRS and administrative department heads to prepare presentations and background research.
  • Complete and submit University forms, including expense reports, travel reimbursements, requisitions, purchase orders, work orders, and personnel postings.
  • Solve operational problems involving supervision, staffing, budgets, transfers, equipment, and space.
  • Coordinate all travel plans and ensure arrangements are appropriate and thorough.
  • Provide support for personnel searches and coordinate with Human Resources.
  • Assist OVPRS teams in evaluating processes and streamlining workflows and approvals.
Desired Qualifications
  • A Bachelor’s degree is preferred.
