Requirements
  • A minimum of 5 years of experience in the event industry, specifically planning and coordinating events.
  • A degree in event planning, recreation, hospitality, marketing, communication, or a related field.
  • Experience managing team members or direct reports.
  • Working knowledge or experience with children and children’s programs.
  • Leadership skills and professional judgment when dealing with difficult situations, including leading by example and role modeling professional behavior.
  • Experience with budgets, proposals, contracts, and negotiation.
  • Effective communication and interaction with military partners, vendors, residents or event attendees, and management.
  • Proficiency with personal computers, internet search, email correspondence, mathematics, Microsoft Office Word and Excel, Publisher, InDesign, Photoshop, social media sites, and other software applications such as Yardi, Payscan, and Streampoint.
  • Ability to operate a motor vehicle; a valid driver’s license and insurance are required.
  • Quality writing and public-speaking ability.
  • Effective time and task-management skills.
  • Ability to work a flexible schedule including nights, weekends, and some holidays.
  • Ability to travel to other regional locations for work, training, meetings, and other work-related activities.
  • Ability to travel overnight for events or training.
  • Ability to lift up to 50 pounds, use step stools, move event materials, and load or unload vehicles.
  • Ability to walk and stand for long periods while on location at events.
Responsibilities
  • Manage Event Coordinators within the Community Services Department.
  • Ensure Event Coordinators develop and coordinate all aspects of the event-planning process, including research, design, planning, coordination, and evaluation, with quality and attention to detail.
  • Support Event Coordinators in preparing for meetings with the Community Services Director.
  • Develop timelines, production schedules, and time-blocking processes to meet expectations and deadlines and support communication throughout event planning.
  • Coach and train Event Coordinators on the event experience using attendee demographics, needs assessments, and trends related to the military, local community, and relevant social groups.
  • Ensure agendas and minutes are completed, tasks are assigned and followed through, and planning remains on target.
  • Support the Community Services Director in coaching and mentoring Event Coordinators and focusing their goals monthly.
  • Assist with performance coaching and the annual review process.
  • Support recruiting by reviewing résumés, conducting phone interviews, and arranging future interviews.
  • Support onboarding and training of new team members during their first three and six months.
  • Attend events with new Event Coordinators to provide on-site support and training.
  • Oversee events while an Event Coordinator position is vacant to keep them on target.
  • Oversee the Event Coordinators’ monthly schedules and Day of Coordinator schedules.
  • Perform administrative and computer tasks, email communications, and data entry in software and information systems such as Payscan, Yardi, Word, Excel, Publisher, InDesign, Streampoint, and social media sites.
Desired Qualifications
  • A certificate in event planning, either in progress or completed.
  • Working knowledge or experience with the military community.
  • Working knowledge of additional software applications such as Yardi, Payscan, and Streampoint.
  • Familiarity with using a digital camera.
