Requirements
  • A bachelor's degree in a relevant field or equivalent.
  • Six Sigma Green Belt or equivalent certification is required within one year of hire.
  • A minimum of five years of experience in a leadership role within a clinical setting.
  • Experience supporting physicians and coordinating patient care activities.
  • Experience with an electronic medical record system.
  • Knowledge of business and management principles.
  • Proficiency in Microsoft Excel, PowerPoint, Word, and Adobe.
  • Ability to direct, manage, implement, and evaluate department operations.
  • Ability to establish department goals and objectives that support the strategic plan.

Responsibilities
  • Provide administrative support, oversight, issue resolution, and coordination for assigned specialties, programs, and projects.
  • Directly supervise support staff assigned to clinical specialties and providers.
  • Evaluate staff support, provide mentorship and education sessions, and manage performance.
  • Develop standard operating procedures and training materials and ensure their adoption by staff.
  • Support clinical service line expansion through business proposal development, financial analysis, and industry research.
  • Manage implementations and document project plans, timelines, workflows, action items, and status updates for clinical service projects.
  • Develop reports, dashboards, and metrics to monitor provider productivity, clinic cycle times, patient volumes, wait times, appointment lead times, slot utilization, no-show rates, and schedule balance.
  • Implement and monitor processes and technology to track and improve staff productivity and performance.
  • Monitor patient satisfaction scores and design continuous-improvement initiatives.
  • Facilitate monthly service meetings, present consolidated performance data, distribute agendas and minutes, and follow up on action items.
  • Coordinate onboarding and orientation of new faculty, residents, fellows, and attending providers, including schedules, clinic space, support-staff allocation, office assignments, and equipment and supply orders.
  • Assess patient volumes and clinic flow, improve patient-assignment distribution, and escalate scheduling issues to optimize templates.
  • Ensure patient concerns are documented and addressed in a timely and professional manner.
  • Develop and monitor provider In-Basket reports to ensure timely and appropriate resolution.
  • Communicate data to providers regarding appointment lead times, schedule instructions, order signing, and related practices.
  • Oversee faculty schedules, including vacation and meeting requests, clinic cancellations and add-ons, surgery, on-call coverage, and resident and fellow schedules; maintain provider schedule software.
  • Ensure providers have appropriate clinical support, resolve delays, and guide patients through appointments.
  • Maintain faculty credentialing documents and coordinate service-specific education, research functions, professional meetings and conferences, procedure demonstrations, and continuing medical education activities.
  • Provide ancillary, clerical, or medical-related support to providers, including patient care, clinical activities, student services, reporting and statistics, research-study patient management, and other business needs.
  • Contribute to annual operating expense and capital budgets and facilitate equipment and supply requests.
  • Act as administrative lead for equipment repairs, clinic renovation, and construction projects.
  • Round in clinical areas, participate in clinic huddles, and manage specialty and service meetings and communications.
  • Remain current on regulatory requirements, perform compliance audits, and assess internal controls.
  • Ensure employees are trained on internal controls and University policies and procedures.
Desired Qualifications
  • Six Sigma Green Belt or equivalent certification.
  • Certified Ophthalmic Assistant certification.
  • Experience as a supervisor.
  • Experience managing projects, implementing new technologies and processes, and performing data analytics.
  • Experience with Epic electronic medical record system.
