Pre-Construction Administrator
About the job
- Two to four years of experience in construction administration, project coordination, or related roles.
- Strong organizational and multitasking skills to manage multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills for coordinating with internal teams and external partners.
- Familiarity with Microsoft Office Suite; construction management software familiarity is a plus, and training will be provided.
- High level of accuracy in document management, data entry, and financial tracking.
- Ability to review contracts, budgets, and schedules for inconsistencies or potential issues.
- Strong interpersonal skills to work effectively with sales, project managers, field staff, and clients.
- Prepare, process, and track contracts, subcontracts, change orders, and purchase orders.
- Maintain organized project documentation, including drawings, specifications, requests for information, and submittals.
- Assist with budget tracking, invoice processing, and coordination of billing with accounting departments.
- Schedule and coordinate project meetings, prepare meeting minutes, and distribute relevant project information.
- Communicate with clients, vendors, and subcontractors to obtain documentation, updates, and approvals.
- Ensure compliance with company policies, contract requirements, and safety regulations.
- Assist in preparing reports and presentations for internal and client meetings.
- Assist in the preparation of budgets for multifamily, commercial, and residential construction projects.
- Familiarity with construction management software.
