Requirements
  • Advanced knowledge of office and administrative practices and principles.
  • Skill in operating computers and related software applications, including Microsoft Word, Excel, PowerPoint, and Access.
  • Knowledge and skill in accounting and budgeting procedures and techniques.
  • Ability to solve problems and make decisions.
  • Ability to exercise discretion and ensure a high level of confidentiality.
  • Ability to communicate effectively orally and in writing with a diverse population.
  • Ability to establish and maintain effective work relations with faculty, staff, students, and the general public.
  • High school diploma or GED and 2-4 years of general work experience.
  • An Associate of Arts or Associate of Science degree may be substituted for four years of required work experience.
  • A Bachelor of Arts or Bachelor of Science degree may be substituted for up to four years of work experience.
Responsibilities
  • Direct the workflow of the office and develop and implement office procedures and practices.
  • Assign and monitor student workers as directed, and provide directions to clerical staff to coordinate administrative procedures within and among offices.
  • Monitor or oversee account expenditures, maintain and reconcile detailed budgets, determine whether expenditures comply with budget guidelines, inform management of irregularities, and take corrective action.
  • Prioritize workload to meet work-unit operations.
  • Submit department timecard data, verify leave time and total paid time, and resolve inaccurate or incomplete time records with supervisors or employees.
  • Enter personnel and financial documents using related software applications.
  • Perform moderate-difficulty data analysis using tables, graphs, and basic statistics, and prepare final reports and presentation visuals.
  • Prepare confidential correspondence and reports and make necessary corrections to produce error-free final copies.
  • Assemble data and compose correspondence for the department.
  • Design office filing systems and file correspondence and other items according to categorized order.
  • Search files and other information sources to answer questions or assemble data for supervisors and staff.
  • Use automation to remind supervisors and others of scheduled events, deadlines, and pending matters.
  • Work directly with professional, technical, and supervisory staff to assist with general duties.
  • Gather and compile statistics and other materials for reports.
  • Review and process personnel and purchase request forms online and in hard copy.
  • Serve as a liaison to faculty, staff, students, alumni, patients, outside agencies, and the public concerning information or complaints.
  • Participate in meetings and conferences related to the area of responsibility.
  • Prioritize and arrange meetings, conferences, and appointments for the unit administrator; make travel reservations and itineraries; and prepare necessary background materials.
  • Perform other job-related duties as assigned.
