Responsibilities
  • Record financial transactions and handle bank reconciliations.
  • Coordinate supplier financial information requests and handle accounts payable, including paying supplier bills.
  • Review and approve employee expense claims and travel requests in accordance with the Business Travel & Expense Policy.
  • Check claim validity by reviewing receipts for vendor, date, itemized purchases, and tax breakdown, as well as descriptions, categories, cost centers, and submission timeliness.
  • Escalate out-of-policy or above-threshold items according to documented approval lines, including premium travel upgrades, late bookings, exceptions, and client entertainment above threshold; record the rationale and outcome.
  • Return incomplete or non-compliant claims to employees with clear, helpful feedback.
  • Monitor travel bookings in Navan for policy compliance, including use of Navan, fare caps, and advance-booking rules.
  • Support company card administration by sending reconciliation reminders, following up on missing receipts, and flagging anomalies.
  • Handle general business and financial administration, including filing, data entry, supplier and invoice queries, and keeping records audit-ready.
  • Answer employee questions on expenses and travel, and direct them to the appropriate policy or process.
  • Identify recurring policy breaches or process gaps and suggest improvements.
  • Support ad hoc business needs, such as credit card requests and payment queue checks.
  • Monitor the certified legal mailbox (PEC), review incoming requests, summarize key points, and forward them to the appropriate teams.
