Responsibilities
  • Assist with the office’s administrative activities and coordinate administrative processes and projects.
  • Support agents by receiving, reviewing, filing, and submitting contracts and other administrative documents.
  • Answer and respond to incoming calls from clients, prospects, and staff.
  • Use mailing technology to send marketing materials, client policies, and other communications.
  • Learn the online database, run client lists, and communicate with clients based on gathered information.
  • Schedule and organize onsite and offsite meetings, travel, and conferences.
  • Make outbound calls and set appointments using provided scripts.
  • Verify phone numbers, addresses, and email addresses during customer contacts and update customer information.
  • Inform customers about promotions and new or upgraded products using prepared scripts.
  • Schedule appointments for sales staff to meet prospective customers.
  • Ask customers for referrals and explain the referral program.
  • Respond to contracting, new business, and commission issues with carriers.
  • Respond to agents about the status of submitted documents and resolve questions, inconsistencies, or missing data.
  • Take action to ensure submitted data is complete, correct, and accurate.
  • Process updates, changes, and additions to contracts and licenses for agent appointments within required time frames.
  • Enter carrier licensing forms and commission schedules into the system.
  • Follow processes and procedures to ensure timely document turnaround and follow-up.
  • Review new carrier and new agent onboarding.
