Requirements
  • A college or university degree in a related field is required.
  • Knowledge and skills developed through 2–5 years of work experience in a related job discipline are required.
  • A bachelor's degree is preferred.
  • Understanding of Accreditation Council on Graduate Medical Education, board certification, and institutional requirements is preferred, with the capacity to interpret and apply policies effectively.
  • Experience with databases and software systems, including MedHub, Electronic Residency Application Service, WebADS, Microsoft Office, and Google Suite, is preferred.
  • A resume or curriculum vitae and cover letter are required.
Responsibilities
  • Manage and coordinate fellowship recruitment.
  • Coordinate onboarding and exit processes for Accreditation Council on Graduate Medical Education fellowship-approved programs, non-Accreditation Council on Graduate Medical Education fellowships, post-doctoral fellowships, and Coggeshall Instructorship programs.
  • Maintain information and databases to ensure fellows are current and compliant with mandatory annual training, including Fraud Awareness, Health Insurance Portability and Accountability Act training, and Patient Safety training.
  • Manage and monitor performance assessments for fellows and faculty in MedHub.
  • Manage and regularly update departmental manuals, databases, and related information sources.
  • Compile and tabulate data for surveys, questionnaires, accreditation reports, and other documents required by outside agencies.
  • Compose, prepare, and distribute correspondence, agendas, and reports.
  • Create clinical training schedules for fellows, including inpatient block schedules and ambulatory schedules.
  • Coordinate and schedule fellowship and fellow meetings, including educational conferences, fellow and program or associate program director meetings, research mentorship meetings, and faculty committee meetings.
  • Manage the continuing medical education process for programs.
  • Collect learning objectives from presenters or speakers before sessions.
  • Collect the six-letter continuing medical education code and forward it to attendees before sessions.
  • Assist with drafting budget requirements, monitor education-related accounts and budgets, manage individual fellow stipend spending, and assist the Section Administrator with reviewing the financial performance of education programs.
  • Participate in the daily operations of accredited and non-accredited residency and fellowship training programs and ensure compliance with organizations such as the Accreditation Council on Graduate Medical Education and Residency Review.
  • Coordinate and interpret training-program requirements, including accreditation duty schedules, evaluation processes, resident and fellowship recruitment, the Match process, orientation, and employee relations.
  • Plan and coordinate annual fellow events, including welcome and graduation events.
  • Exercise moderate to high authority in reporting and ensuring compliance with procedures regarding licensing, moonlighting, annual contracts, and initial and re-credentialing of trainees.
  • Perform other related work as needed.

  • Experience in an academic medical center environment.
  • Familiarity with Graduate Medical Education programs.
  • Ability to manage multiple fellowship programs with competing deadlines while maintaining accuracy and compliance.
  • Strong written and verbal communication with fellows, faculty, residency and fellowship leadership, and institutional stakeholders.
  • Discretion in handling sensitive information and representing the medical section professionally.
  • Ability to anticipate program needs, identify potential issues, and proactively develop solutions.
  • Ability to work effectively with residency coordinators, faculty, and the graduate medical education office to ensure seamless program operations.
  • Comfort adjusting to changing accreditation requirements, program growth, and urgent deadlines.
  • Commitment to providing high-quality support to fellows, faculty, and departmental leadership.
  • Ability to maintain accuracy in compliance reporting, documentation, and data entry.
