  • A Bachelor's degree with two years of relevant administrative work, or some college with four years of progressively responsible relevant work experience.
  • Proficiency with Windows operating system, Microsoft Word, Excel, PowerPoint, Office 365 applications, and database software.
  • Strong organizational skills and attention to detail.
  • Strong oral and written communication skills.
  • Ability to analyze situations, make appropriate decisions, and work independently after initial guidance from a supervisor.
  • Ability to exercise tact, judgment, and discretion when preparing, disclosing, and handling confidential and sensitive information.
  • Ability to work effectively with ethnically diverse populations and in diverse environments.
  • Ability to meet the physical demands of the role, including occasional lifting of up to 15 pounds and working in clinic and office environments.
Responsibilities
  • Assist the Chief Administrative Officer and Compliance Department Manager with legal, regulatory, grant, health and safety, privacy, security, and audit standards, including Health Resources and Services Administration Operational Site Visits, Federal Tort Claims Act requirements, and Health Insurance Portability and Accountability Act privacy requirements.
  • Convene meetings, set agendas, and take minutes for department meetings and compliance, audit, and safety committees.
  • Attend organizational meetings on behalf of the Chief Administrative Officer and Compliance Department Manager when requested.
  • Assist with compliance, regulatory, and risk-management matters, including responding to incident reports, tracking internal compliance metrics, and contacting and following up with staff or external entities.
  • Provide confidential administrative support to the Chief Administrative Officer, Executive Leadership, and Management Team on matters involving privacy breaches, labor management, and legal issues.
  • Manage central administration and compliance/risk-management files, organizational policies, and procedures in Compliatric, keeping them current and ensuring access and use procedures are followed.
  • Compile and centralize contracts and other compliance-related documents.
  • Perform clerical work including filing and retrieving files, copying, duplicating, collating, typing, word processing, mailing, and other production work requiring confidentiality and discretion.
  • Serve as backup for the headquarters Administrative Assistant during the assistant's absence.
  • Delegate assignments and coordinate staffing needs when the Compliance Department Manager is unavailable.
  • Foster trust and cooperation among clients and staff.
  • Enforce clinic policies and procedures, including client confidentiality under Health Insurance Portability and Accountability Act privacy rules.
  • Plan and participate in organization-wide activities, membership meetings, fundraisers, special clinic days, public events, outreach, advocacy, committees, staff retreats, Board of Directors meetings, quality-improvement processes, and performance-improvement teams.
Desired Qualifications
  • Bilingual and bicultural ability in an Asian language.
  • Commitment to working in the Asian community and in community health care, preferably with community health clinics.
  • Familiarity with compliance or risk-management tracking and reporting in a health-care setting.
