Responsibilities
  • Maintain resident medical records and health information systems in accordance with federal and state guidelines and facility privacy policies.
  • Receive and follow work schedules, supervisor instructions, and established policies and procedures.
  • Assist in organizing, planning, and directing the medical records department.
  • Assist the Medical Records/Health Information Consultant as required.
  • Maintain meeting minutes and file them as necessary.
  • Develop and maintain working relationships with interdepartmental personnel to support proper maintenance of medical records.
  • Record and file incidents and accidents according to established procedures.
  • Retrieve, deliver, collect, assemble, inspect, and file resident records and charts, including records from wards and nurses' stations.
  • File nurses' notes, resident assessments, progress notes, laboratory reports, x-ray results, correspondence, and other information into resident charts.
  • Assist the MDS Coordinator in scheduling assessments in accordance with facility and OBRA guidelines.
  • Return incomplete records and charts to the appropriate departments or personnel for correction.
  • Assist in developing procedures to ensure resident records are completed, assembled, coded, signed, and indexed before filing.
  • Ensure resident charts and records do not leave the medical records room except as authorized.
  • Maintain logs of authorized information released from resident records.
  • Abstract authorized information from records for insurance companies, Medicare, Medicaid, and the Department of Veterans Affairs in accordance with privacy rules.
  • Index medical records as directed by the medical records or health information consultant.
  • Maintain registries, including admission and discharge registers.
  • Transcribe and type physician reports as necessary.
  • Batch resident information into the computer and retrieve resident demographic information.
  • Answer telephone inquiries about medical records functions and prepare written correspondence.
  • Retrieve medical records for authorized physicians, nurses, government agencies, and other personnel.
  • Track records removed from the department by ensuring they are signed out and signed in upon return.
  • File active and inactive records according to established policies.
  • Protect user IDs, passwords, and resident protected health information and report suspected violations or unauthorized access attempts to the Administrator.
  • Perform secretarial duties for facility committees.
  • Collect and compile records for committee review and prepare reports for staff and other committees.
  • Report known or suspected fraud, including false billings, cost reports, and kickbacks, to the Administrator.
  • Log off or password-protect unattended departmental computer workstations according to facility policy.
  • Attend required facility in-service training and approved workshops and seminars.
  • Report unsafe conditions, defective equipment, and equipment malfunctions to the supervisor.
  • Replenish supplies and keep work areas, records, and files clean and properly stored.
  • Perform other duties as assigned.

PACS Group has appointed Carey P. Hendrickson as chief financial officer, effective 27 April 2026. Hendrickson brings nearly four decades of financial leadership across healthcare, senior living and media sectors. Most recently, Hendrickson served as CFO of U.S. Physical Therapy, overseeing 779 outpatient clinics across 44 states. He previously held CFO roles at Capital Senior Living Corporation, managing 128 communities across 23 states, and Belo Corp. He succeeds Mark Hancock, PACS's co-founder and executive vice chairman, who will retire by 30 June 2026 whilst remaining on the board as vice chairman. PACS Group has announced that co-founder and chief financial officer Mark Hancock will retire on 30 June 2026. He will continue serving on the company's board of directors as vice chairman. Hancock co-founded PACS in 2013 with Jason Murray, starting with two post-acute care facilities in San Diego. Under his leadership, the company expanded to 323 facilities across 17 states, serving over 31,700 patients daily and generating $5.29 billion in revenue in 2025, representing 29.3% year-on-year growth. Dr Conway currently serves as CEO of Optum, UnitedHealth Group's health services division with revenues exceeding $200 billion. From 2011 to 2017, Dr Conway served as deputy administrator for innovation and quality at the Centers for Medicare and Medicaid Services, where he also held roles as director of the Center for Medicare and Medicaid Innovation and chief medical officer.
