Requirements
  • A high school diploma and two years of recent post-high-school education are required; a college degree is a plus but not required.
  • Three to seven years of administrative experience is required.
  • Advanced experience with the Microsoft Office Suite is required, including Microsoft Word, Excel, PowerPoint, Outlook, and SharePoint.

Responsibilities
  • Manage and prioritize the schedules of the Chief Project Management Officer and Chief Enterprise Officer.
  • Schedule meetings, appointments, and travel while ensuring effective time management and prioritization.
  • Resolve scheduling conflicts and proactively identify solutions.
  • Serve as the primary point of contact for internal and external stakeholders, including City departments, government officials, and community organizations.
  • Screen phone calls, emails, and correspondence for both executives.
  • Draft, proofread, and edit documents, reports, and presentations for the executives.
  • Facilitate communication and follow up on key action items.
  • Organize and prepare materials for meetings, conferences, and public events involving the executives.
  • Take meeting minutes, track action items, and ensure timely follow-up.
  • Assist with the planning, logistics, and execution of city-wide events, conferences, and stakeholder engagement activities.
  • Assist the Chief Project Management Officer in tracking and supporting the execution of city projects and initiatives.
  • Prepare and maintain project reports, status updates, and documentation.
  • Track project timelines and milestones effectively.
  • Assist with project-related inquiries.
  • Handle day-to-day administrative tasks, including filing, organizing digital and paper records, and maintaining office supplies.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries for the executives.
  • Provide support for special projects assigned by the executives.
  • Record and distribute meeting notes.
  • Answer telephone and personal inquiries.
  • Create and maintain documents.
  • Organize, maintain, and update confidential files and databases.
  • Assist in preparing reports and presentations for senior leadership and the public.
  • Ensure the accuracy and integrity of project-related documentation.
  • Maintain strict confidentiality regarding sensitive issues and discussions.
  • Anticipate needs and proactively address administrative challenges.
  • Offer recommendations for process improvements to improve office efficiency.
  • Communicate with staff regarding office needs and recommend improvements.
  • Assist with setting up and breaking down office events and meetings.
  • Coordinate with the office manager on building management and facility-related issues.
Desired Qualifications
  • Working knowledge of Microsoft Visio is a plus.
  • Working knowledge of Microsoft Outlook or another automated email and scheduling system is a plus.

Philadelphia to deploy up to 1,000 curbside EV chargers with it's electric across all neighbourhoods

It's electric has signed an agreement with Philadelphia to deploy up to 1,000 Level 2 curbside electric vehicle chargers across the city, making Philadelphia the first US city to pursue city-wide curbside charging at this scale. City Council is set to vote on enabling legislation in June. The network will prioritise neighbourhoods based on rideshare driver density, lack of existing charging infrastructure and environmental justice considerations. More than 60% of Philadelphia households lack off-street parking, making curbside charging essential for EV adoption. It's electric's hardware draws power from existing buildings and utility poles, avoiding interconnection delays and grid upgrades. The first chargers are scheduled to go live in early 2027, with deployment spanning all 18 city planning districts.
