Requirements
  • A high school diploma or equivalent is required.
  • Three years of clinical or customer service experience are required.
  • Effective verbal and written communication skills are required, with a strong emphasis on customer service for referring physicians, offices, and patients.
  • Flexibility is required to meet departmental or hospital needs during changes in work volume, planned changes, scheduling changes, and emergency call-backs.
  • Working knowledge of computers is required.
  • Tact and diplomacy are required when dealing with others.
  • Frequent walking, sitting, stooping, reaching, pushing, pulling, lifting, grasping, and feeling are required throughout the work shift.

Responsibilities
  • Serve as the initial point of contact for scheduling, messaging, and operational questions from Scheduling Call Center staff.
  • Act as a liaison between scheduling staff, the manager, clinics, patient access, and the call center to ensure appropriate communication of issues and protocol changes.
  • Develop, initiate, and monitor departmental training, training protocols, and training resources.
  • Orient and mentor new employees.
  • Address and resolve patient, customer, and physician complaints.
  • Manage communication and coordination between patients or customers and providers or clinics.
  • Recommend potential alternatives to optimize and increase the efficiency of visits or procedures.
  • Manage calls so that urgent situations related to patient care are handled appropriately.
  • Respond to patient and staff needs and complaints within the patient-care environment, involving department supervisors and the patient representative when needed.
  • Address insurance issues and educate patients regarding insurance denials or out-of-network status.
  • Enroll providers in new insurance plans as applicable.
  • Develop workflow changes to address identified issues.
  • Maintain training records and notify the manager of training issues.
  • Serve as the initial point of contact for referral specialists in the spine center.
  • Lead departmental and divisional meetings and record minutes in the manager’s absence.
  • Clarify Epic processes.
  • Maintain the monthly schedule and daily assignments, adjusting them to staffing levels and scheduling priorities.
  • Identify urgent patient requests and needs and escalate them to the registered nurse.
  • Develop and maintain workflows with outside facilities for electronic image sharing within Image Grid.
  • Work with the manager, patient access, call center, and clinics to communicate and address process, protocol, guideline, and employee issues.
  • Participate in peer interviewing.
  • Attend clinic-management meetings and coordinate schedules, breaks, and lunches.
  • Communicate guideline changes to spine center staff and address resulting questions.
  • Monitor productivity and adjust daily assignments to ensure timely patient care.
  • Perform all duties of a referral specialist within the spine center.
