Responsibilities
  • Manage the telephone switchboard and respond to incoming office enquiries, forwarding calls to the appropriate team member when necessary.
  • Greet, welcome, and check in staff, specialist consultants, patients, and other external visitors.
  • Book assessments and appointments, ensure prescribed paperwork is completed before consultations, and communicate relevant information to visitors as necessary.
  • Respond to scheduling requirements and changes to maximise the booking rate of available consultant appointments, and notify consultants of last-minute schedule changes.
  • Liaise with team members, customers, clients, and external agencies to compile and provide assessment information, records, diagnostic material, and other reference documentation for medical evaluations.
  • Maintain and file records accurately in accordance with designated standards.
  • Receive, sort, distribute, and dispatch mail, and coordinate courier deliveries as necessary.
  • Support consultants with tasks such as retrieving radiology records and photocopying.
  • Confirm appointment attendances both locally and regionally.
  • Manage the day-to-day operation and professional appearance of reception and patient waiting areas, including setup, preparation, and cleanliness of reception, waiting, and consulting rooms.
