Requirements
  • A minimum of three years of administrative or customer support experience.
  • Proven ability to work independently and collaboratively as part of a team.
  • Ability to communicate and interact effectively while resolving issues from fellowship and researcher applicants and university staff with sensitivity and accuracy.
  • Ability to organize and prioritize work, meet competing deadlines, and complete tasks promptly in an active environment with frequent interruptions.
  • Ability to work in a fast-paced environment with minimal supervision.
  • Excellent computer skills and willingness to learn new applications.
  • High proficiency with the Microsoft Office Suite, including Outlook, OneNote, and Excel, and with Google Suite.
  • Completion of internal financial, procurement, or research compliance training is required.
  • Must meet work-location sponsorship requirements prior to employment.
Responsibilities
  • Manage the Rowland Fellowship recruitment cycle, including candidate contact databases, communications, job postings, and applicant-submission tracking.
  • Serve as the administrative point of contact for Rowland Fellow applicants; screen applications for completeness, organize candidate files, upload review materials, coordinate review-committee and interview-panel schedules, conduct preliminary interviews, and perform initial application triage.
  • Plan and execute multi-day candidate interview visits, including travel, itineraries, lodging, and hosting logistics, in partnership with leadership.
  • Assist Rowland Fellows with job postings for postdoctoral and external undergraduate positions.
  • Draft, edit, and manage high-level correspondence, announcements, and administrative communications on behalf of the Directors.
  • Assist the faculty Director with support letters, institutional documentation, and administrative materials for grant applications and reporting.
  • Provide writing support for support letters and recommendation letters for Rowland Fellows and Institute researchers in partnership with the faculty Director.
  • Oversee the Faculty Director’s complex calendar, prioritize competing demands, coordinate senior-level engagements, and prepare agendas, briefing materials, and meeting context.
  • Plan and execute recurring programs and gatherings that strengthen Institute relationships, collaboration, and community.
  • Oversee weekly Institute lunches, scientific talks, and social gatherings; coordinate speakers and shape programming with Faculty and Executive Directors.
  • Direct special events, annual gatherings, symposia, and Scientific Advisory Board meetings, including agendas, stakeholder coordination, budgets, vendors, and end-to-end logistics.
  • Manage visiting speakers’, researchers’, and guests’ travel, accommodations, transportation, schedules, and on-site support.
  • Oversee catering and hospitality operations, including vendor selection, contracts, budgets, ordering, delivery coordination, and event setup and breakdown.
  • Maintain website content, research news, personnel profiles, and digital displays as the primary administrative editor for the Institute’s digital platforms.
  • Manage Institute-wide communication channels and coordinate onboarding and offboarding, including employment documentation, building access, welcome materials, and orientations.
  • Manage general inquiries, welcome visitors, and triage requests to appropriate Harvard, Institute, or Fellow resources.
  • Provide a professional and responsive front-facing presence for researchers, staff, visitors, and external partners.
  • Perform other duties assigned by the Directors.
