Requirements
  • Fluency in English and Spanish is required.
  • Ability to work on-site Monday through Friday from 7:30 AM to 4:00 PM, with adjusted hours and occasional after-hours or limited on-call support as needed.
  • Ability to coordinate facility operations across hard services, including HVAC, electrical, plumbing, and general maintenance, and soft services, including janitorial and landscaping.
  • Ability to use and administer a Computerized Maintenance Management System, including work order management, reporting, user support, system data maintenance, implementation updates, and user training.
  • Ability to coordinate internal technicians and external vendors for routine and emergency work.
  • Ability to verify vendor onboarding, insurance, third-party system, contractual, safety, and regulatory compliance.
  • Ability to issue and manage purchase orders, track invoices, review billing accuracy, and support budget tracking.
  • Ability to prepare and maintain work orders, contracts, service reports, compliance documentation, correspondence, and operational records.
  • Ability to support safety programs, policies, and emergency procedures.
  • Ability to provide customer service, telephonic support, and responsive email communication.
  • Ability to perform basic root cause analysis for recurring maintenance issues and recommend improvements.
  • Ability to support events, catering, movers, special assignments, projects, and service calls as required.
Responsibilities
  • Support the Facility Account Manager in overseeing daily facility operations across hard and soft services.
  • Schedule, assign, and monitor work order service requests through completion.
  • Create, dispatch, and track work orders in the Computerized Maintenance Management System.
  • Coordinate internal technicians and external vendors for routine and emergency work.
  • Monitor service delivery and follow up on outstanding or delayed work orders.
  • Provide secondary on-site client support and work closely with on-site clients.
  • Coordinate and oversee vendors to ensure work meets scope, quality standards, and timelines.
  • Review nightly reports and ensure daily janitorial coverage.
  • Maintain vendor records, contracts, and compliance documentation.
  • Serve as a point of contact for vendor scheduling, site access, and issue resolution.
  • Escalate vendor performance and compliance concerns to the Facility Account Manager.
  • Issue and manage one-time and recurring purchase orders.
  • Track purchase orders to support timely vendor invoicing and proper billing alignment.
  • Review invoices against completed work and contracted rates.
  • Maintain service-cost records and identify cost-saving opportunities.
  • Create reports on work order status, service trends, and vendor performance.
  • Maintain accurate asset information and service records in the system.
  • Assist with schedules for facility staff and ensure adequate operational coverage.
  • Coordinate facility support for events and non-routine operational needs.
  • Serve as backup to the Facility Manager, including limited on-call responsibilities.
  • Support the Events, Catering, and Movers team and remain on-site after hours when needed to support events.
  • Prepare work order reports, correspondence, and operational documentation.
  • Assist with ordering supplies and materials for facility operations.
  • Complete monthly check-ins for the on-site team.
  • Support implementation of safety programs, policies, and emergency procedures.
  • Ensure vendor and maintenance activities comply with company standards and regulatory requirements.
  • Promote a safe working environment for staff, vendors, and occupants.
  • Handle special work assignments, projects, and service calls as needed.
