Responsibilities
  • Assist the department in managing expectations surrounding pre- and post-patient care.
  • Obtain or review patient demographic information, insurance information, and referral numbers.
  • Review clinical records for completeness, including authorizations, signatures, missing data, and other patient information.
  • Answer multiple department telephones by triaging incoming calls, responding to questions, directing calls, and documenting messages in the appropriate software.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate employee according to their needs.
  • Work cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provide coverage for co-workers' responsibilities when assigned or as needed.
  • Develop and promote effective communication methods with physicians, managers, peers, trainees, and staff.
  • Maintain confidentiality of all information.
  • Adhere to University and unit-level policies and procedures and safeguard University assets.
  • Complete administrative tasks associated with clinical operations at the Mailman Center for Child Development, including patient scheduling and registration, maintenance of patient waitlists, provider and trainee support, ordering clinical supplies, patient communication through MyChart messages, phone, and email, and generation of patient estimates.
  • Coordinate with Central Insurance Verification, Central Business Office, Facilities, Office of Patient Experience, Patient Access, On Demand Scanning, Information Technology, and Health Information Management teams for clinic and patient needs.
  • Maintain UChart referral work queues and Redcap intake packets.
  • Provide coverage for other Mailman Center clinical support staff as needed.
  • Report incidents in a timely manner to appropriate supervisory personnel.
  • Perform other assigned duties.
