Requirements
  • A high school diploma is required.
  • At least two years of work experience in the field are required.
  • Maintain confidentiality, discretion, and sound judgment.
  • Demonstrate computer expertise with Microsoft Word, Excel, Publisher, and PowerPoint.
  • Demonstrate organizational skills, initiative, attention to detail, and the ability to prioritize and manage multiple projects.
  • Communicate effectively through written correspondence and verbal communication and interact professionally with staff, volunteers, donors, and board members.
  • Work autonomously and as part of a team.
  • Meet the stated physical requirements, including intermittent sitting, walking, standing, bending, squatting, climbing, kneeling, twisting, grasping, pushing, pulling, reaching overhead, and occasional lifting of up to 25 pounds.
  • Travel throughout the Division by car, train, or airplane.
  • Operate telephones, electronic communication devices, personal computers, copiers, fax machines, scanners, and other office equipment.
  • Apply logical and critical thinking, envision projects from beginning to end, solve complex problems, and make appropriate judgments and decisions.
Responsibilities
  • Provide administrative support to officers and other staff with professionalism, accuracy, judgment, and confidentiality.
  • Answer and direct phone calls.
  • Sort and open office mail and place it in the appropriate inboxes.
  • Perform general clerical duties, including photocopying, faxing, mailing, maintaining mailing lists, preparing mailing labels, and filing.
  • Maintain inventory and process requests for office supplies.
  • Maintain routine reports and statistics.
  • Submit timesheets to payroll on a bi-weekly basis.
  • Maintain department files according to office procedures.
  • Perform typing duties, including correspondence, forms, documents, schedules, and bulletins.
  • Maintain an adequate bring-up file.
  • Respond to monetary and in-kind donations with thank-you cards.
  • Schedule social service interviews as required.
  • Coordinate “Clothe a Child” holiday assistance.
  • Assist with children's recruitment paperwork for summer camp.
  • Keep finance database entries up to date.
  • Assist with bank deposits.
Desired Qualifications
  • College or business school graduation is preferred.
