Requirements
  • A high school diploma or equivalent is required.
  • Demonstrated excellent interpersonal, oral, written, and listening skills are required.
  • Experience working in a high-pressure, multitasking environment is required.
  • A flexible schedule and understanding of a highly seasonal environment are required.
  • Fire Life Safety Training from the City of Los Angeles is required, or must be obtained within 30 days of hire and maintained through renewal before expiration.
Responsibilities
  • Serve as the primary point of contact for access to USC academic medical centers and the USC Health Sciences Campus.
  • Answer, screen, and direct incoming and outgoing telephone calls, electronic messages, and other web-based communications using a call management system.
  • Respond to basic inquiries and refer other inquiries to appropriate medical personnel.
  • Contact and distribute messages to medical personnel using text, voice, email, and medical records systems.
  • Schedule and confirm initial and follow-up medical appointments, register patients, and perform insurance verification.
  • Counsel prospective and current undergraduate and graduate students and their families on Student Health services.
  • Provide information about student health insurance programs, policies, procedures, requirements, and deadlines by telephone, email, correspondence, and in person.
  • Conduct appointment and scheduling requests using health center internal systems.
  • Analyze student needs and prioritize multiple requests while considering timing, demand, peak-season availability, and professional resource limitations.
  • Create and maintain medical data and reconcile it with patient appointment records.
  • Perform student health inquiry analysis and provide historical reviews of business functions and needs using internal and university systems and email communications.
  • Assess general inquiries, critical issues, and life-threatening situations to provide appropriate service.
  • Handle student health insurance matters involving coverage, student eligibility status, graduation timelines, maximum benefits, out-of-pocket costs, minimum unit or credit requirements, and limitations.
  • Verify insurance coverage through telephone contacts and web inquiries and determine whether patients' insurance meets university requirements.
  • Conduct preliminary evaluations or intake of student problems and issues and refer students to appropriate student services offices for additional counseling.
  • Liaise with other offices on behalf of students to facilitate problem resolution.
  • Present or assist with presenting an overview of university-provided student health center services at orientation, marketing, and health promotion events.
  • Review, research, and analyze reasons for student contact to identify trends in seasonal flows, student requests, process-streamlining opportunities, and related improvements.
  • Assess findings and their potential impact on services and policies and represent customer perspectives regarding current programs and potential modifications.
  • Assist in preparing or updating knowledge database articles, documents, and ad hoc reports as directed by a manager, director, or lead.
  • Maintain patients' rights to privacy, safety, and confidentiality in accordance with HIPAA regulations.
  • Provide assistance to other departments and perform other duties as directed or assigned.
Desired Qualifications
  • A Bachelor's or Associate's degree in a business or operations field is preferred.
  • Two or more years of experience working in a call center and/or healthcare customer service department or environment, preferably in a higher education or medical facility, is preferred.
  • Previous experience answering calls in a rehabilitation or counseling environment is preferred.
  • Knowledge of HIPAA compliance and various health insurance types is preferred.
  • Knowledge of medical terminology is strongly preferred.
  • Demonstrated high-level computer literacy and experience with practice management scheduling systems is preferred.
  • Bilingual ability in Spanish, Chinese, or other languages is preferred.
