Requirements
  • Strong organizational and time management skills.

  • Zero to two years of administrative, office support, or coordination experience is required.
  • A Secret clearance is required.
Responsibilities
  • Coordinate and submit visit requests and specific clearance requests for visitors to MST PMO and its locations and facilities.
  • Support personnel in obtaining official U.S. passports, visas, and other documentation for travel outside the United States.
  • Assist with mail handling, including arranging and tracking courier shipments and sorting and distributing internal mail and other items.
  • Resolve daily issues relating to the creation of Defense Travel System travel authorizations, vouchers, and local travel vouchers.
  • Support the preparation and processing of routine awards, including On-the-Spot and Special Act awards, and develop and maintain an awards action log.
  • Support the preparation of briefings and presentations by reviewing submissions, critiquing versions, detecting errors, and making corrections as needed.
  • Support the preparation of the quarterly Town Hall presentation and other conferences as needed.
  • Track facility work requests and assist customers with initiating requests and determining request status.
  • Respond to cubicle-occupancy issues with property managers, determine status, and ensure problem resolution.
  • Perform Hurricane Readiness and Preparation activities, including attending coordination meetings, distributing guidance, preparing phone-notification rosters, and distributing plastic computer coverings.
  • Track monthly supply requirements.
  • Monitor supplies on hand, consolidate supply orders, research vendors and costs, verify deliveries against orders, and distribute supplies monthly.
  • Monitor toner requirements and purchases for desk-side printers quarterly.
  • Contact the Help Desk to resolve printer issues.
  • Assist with new-personnel in-processing, including processing CRS requests, coordinating sponsorship and security requirements, and scheduling initial information-technology support.
  • Track mandatory training requirements and ensure timely notification of training updates and renewals.
