Requirements
  • General office and/or administrative experience is preferred.
  • Expert skill levels with Microsoft Office Suite and Outlook are needed.
  • The position requires well-developed organizational and problem-solving skills, with close attention to detail.
  • Well-developed interpersonal and communication skills, both oral and written, are essential.
  • The employee must be versatile and agile, able to provide backup coverage for other positions and train others in office systems and programs.
  • The employee is expected to work some nights and weekends.
  • The employee must be able to work independently while prioritizing and managing multiple assignments simultaneously.
  • Discretion is required when handling documents and member concerns.
  • The employee must demonstrate respect and appreciation for working in a multi-ethnic and multi-cultural work environment.
  • The employee must be able to work effectively with members who may show stress and impatience and provide professional representation of the YWCA to visiting governmental representatives.
  • A minimum of ten hours of professional training related to Early Childhood and/or the responsibilities of the position is required annually.
  • A high school diploma or GED is required.
Responsibilities
  • Educate visitors about the YWCA’s available services.
  • Gather and maintain statistical data, complete reports, prepare correspondence, and distribute information to members by mail or email in a timely manner.
  • Respond to division-wide administrative support requests in a timely manner.
  • Perform administrative and office support activities for multiple individuals, including distributing mail, directing visitors, creating spreadsheets and PowerPoint presentations, conducting Internet research, copying, faxing, filing, and data entry.
  • Maintain supplies inventory by checking stock levels, anticipating supply needs, and placing and expediting supply orders.
  • Work directly with the Youth and Family Potential Leadership Team to complete monthly credit-card documentation data entry.
  • Process expense reports and invoices.
  • Complete the daily closing checklist.
  • Complete the bi-weekly cleanliness checklist.
  • Serve as backup for the Client Relations Specialist.
  • Greet members and provide professional, courteous service.
  • Distribute program information and explain program guidelines.
  • Connect members with other staff as needed.
  • Promote and educate individuals about all programs.
  • Assist members in moving between the Child Care Assistance Program, Child and Adult Food Program, and other YWCA programs.
  • Attend special events and programs as needed.
  • Perform other duties assigned for projects, special-needs tasks, or other assignments.
Desired Qualifications
  • General office and/or administrative experience is preferred.
  • An associate degree or progress toward completion of a degree is preferred.
